Responsibilities

  • Provide a comprehensive service to consultants and specialty teams with minimal supervision.
  • Organise personal workload and coordinate with other Medical Secretaries to ensure efficient service.
  • Exercise initiative and maintain confidentiality at all times.
  • Ensure cross‐cover working where possible.
  • Manage and maintain 18‐week patient pathways, including tertiary referrals, and record accurately in the PAS system.
  • Arrange follow‐up appointments in conjunction with the Referral to Treat (RTT) pathway.
  • Support consultants with non‐clinical tasks: preparing presentation documents, arranging meetings, circulating agendas and supportive materials, and taking minutes.
  • Inform appropriate personnel of consultant annual and study leave, and junior doctor leave as needed.
  • Organise and maintain consultant admissions; cancel/add patients to the waiting list as appropriate and contact patients.
  • Liaise with the anaesthetic department and ward teams.
  • Complete and amend theatre lists.
  • Book critical care beds and manage admissions from home.
  • Type dictation from audio transcription of clinical correspondence and documentation.
  • Maintain an effective track of inpatient referrals to ensure timely review.
  • Review clinical letters to ensure appropriate follow‐up arrangements or investigations are in place, rectifying as necessary.
  • Allocate and check the work of other staff.

Qualifications

  • Proficiency with audio‐typing and word‐processing packages, holding a qualification of at least RSA Level 3/OCR typing/word‐processing or equivalent.
  • Knowledge of medical terminology.
  • Desirable: possession of the AMSPAR certificate.
  • Good interpersonal skills, friendly telephone manner, and pleasant disposition.
