About this job

We currently have an exciting opportunity for a Business Support Officer to join our Adults Day Service team in Liverpool. You will be supporting our team with a high standard of administrative assistance and outstanding customer service. Keys Group and Accomplish provide support to individuals with Learning Disabilities, Mental Health Needs, Autism and Acquired Brain Injuries within homes and communities across the UK. At the Walton Resource Centre, we are dedicated to providing a person focused, individualised, and inclusive range of diverse activities that promote the health and well-being of every adult who attends.

Responsibilities:

  • Provide a high standard of administrative assistance and support across the service.
  • Manage e-mail, telephone and post; screen and re‑direct as required, using own initiative to alert important issues as they arise.
  • Support the registered care managers / service managers in all aspects of the running of their service.
  • Facilitate best practices in recruitment and retention, supporting and empowering line managers in administrative processes such as compliance maintenance, absence management, training scheduling, annual leave, and sickness absence.
  • Ensure internal procedures run smoothly while liaising with internal HR consultants for complex or compliance‑related matters.
  • Maintain accurate records with integrity and appropriate control of data, analyse and report to the Leadership Team in a timely manner.
  • Communicate instructions or requests to various individuals and/or departments, obtaining information as required.
  • Coordination and planning of scheduled care reviews, MDT’s and in house meetings.
  • Prioritise their workload to ensure that key duties are completed in order to support the work of the service.
  • Manage and maintain stock levels and ordering supplies.
  • Maintain filing systems and other records as required ensuring they are up to date and accurate and implement changes to systems and procedures as directed.
  • Inputting and running reports of hours delivered by the service.
  • Undertake any further duties determined as reasonable and necessary in the fulfilment of the role.
  • Greet families, cares and external visitors, ensuring a positive and welcoming experience.

Requirements:

  • Willing to travel to other offices when required.
  • Excellent understanding of all Microsoft Office programs (Excel, Word, Office).
  • Knowledge of systems Nourish, RADAR and Tribepad desirable.
  • Outstanding Customer Service, ensuring the people we support are at the heart of everything we do.
  • Must be able to analyse and manipulate large data sources and produce reports as required.
  • Previous administration experience within a care setting.
  • Excellent verbal and written communication skills, able to communicate at a senior level appropriately and constructively.
  • High level of confidentiality and initiative required; discretion is essential.
  • Able to assess and prioritise workload, often within tight deadlines and under pressure.
  • Flexible attitude which demonstrates both a commitment to team working and working on own initiative, when required.
  • Have excellent communication and interpersonal skills and be comfortable in a forward facing position.
