Position Overview
Join our forward‑thinking team at HMS as an Apprentice Document Controller. You will gain hands‑on experience in project administration, document management, and digital systems while working towards a recognised qualification. This is an 18‑month apprenticeship, with college attendance included as part of your training programme. Successful candidates will be expected to travel to their assigned college (Hybrid HQ) or workplace as required.

What Will You Be Doing?
- Support the control, organisation, and distribution of project documentation including drawings, contracts, RFIs, reports, and meeting minutes
- Assist in uploading and maintaining accurate records using Procore and internal systems
- Help ensure version control processes are followed so project teams always have the latest information
- Support tracking of document approvals, updates, and workflows across projects
- Assist with distributing documents to internal teams and external stakeholders
- Support compliance checks to ensure documentation meets project and regulatory standards
- Help with audits, filing, and archiving of project records
- Assist in maintaining templates, workflows, and system processes within Procore
- Support onboarding of users and provide basic guidance on system use
- Escalate system or document issues to senior team members when required
- Help generate reports from Procore to support project performance and decision‑making
- Attend meetings, take minutes, and support the tracking of actions
- Assist in compiling handover documentation such as O&M manuals
- Support project teams with accurate and timely information throughout delivery stages
- Identify opportunities to improve processes, efficiency, and value for money
- Develop understanding of commercial awareness and project delivery processes
- Take responsibility for your learning, including college attendance and completion of apprenticeship work
- Develop the skills, knowledge, and competence required to independently carry out all core tasks associated with the role by the end of the apprenticeship programme
What We’re Looking For
- 4–5 GCSEs at grades 9–4 (A–C) including English Language (Grade 4/C or above) and Maths (Grade 4/C or above), or GCSE English Language (Grade 4/C or above) plus Functional Skills Level 2 Maths (or equivalent accepted by providers). For mature applicants (19+ / 21+), GCSE requirements may be waived where relevant construction experience and/or site supervisory responsibilities can be demonstrated, with suitability assessed via skills assessment and/or professional discussion, and Functional Skills English and/or Maths may still be required depending on individual circumstances.

Assessment Day
Shortlisted candidates will be invited to attend an assessment day to further assess suitability for the apprenticeship role. Assessment day will take place on the 30th June 2026 at Hybrid HQ.
College or Training Organisation
All Document Controller apprentices will attend Hybrid HQ college – Unit 3, The Boxworks, 18 Heysham Rd, Aintree, Liverpool L30 6UR.
Your Training Plan
You will complete a structured apprenticeship programme over 18‑months, combining on‑the‑job learning with day‑release college attendance. You will gain a recognised qualification in business administration / document control while developing practical experience in a live project environment.
During Your Apprenticeship
You will work across our operational projects in Liverpool, Warrington, St Helens, and surrounding areas, supporting a wide range of construction and compliance activity while building your technical and administrative skills.
