Responsibilities

  • Keeping detailed records of all move requests
  • Maintaining a database of the occupiers of every room
  • Producing statutory annual return information for ERIC and PLACE
  • Raising purchase orders and processing invoices
  • Working closely with WWL teams to obtain their requirements
  • Negotiating with various teams and managers
  • Maximising the utilisation of the estate
  • Working on various projects
  • Monitoring, allocating and reporting on office and clinical space utilisation across the Trust
  • Calculating workspace required to comply with Regulation 10 of the Health and Safety Regulations 1992 and relevant NHS Health Building Note
  • Advising stakeholders on appropriate use of space, including embedding clear desk and shared desk principles
  • Providing detailed information regarding areas and utilisation for the annual DoH ERIC return
  • Utilising the Trust’s Devolved Financial Management system and complying with the Trust’s standing financial orders
  • Co‑ordinating with the Capital Projects Team on developments relating to the Trust’s premises to assess impact on staff accommodation
  • Short-, medium- and long‑term planning of workplace accommodation and programme management relating to the Trust’s premises
  • Collating data for statutory returns, including ERIC, PLACE and PAM, and responding to FOI requests concerning estate usage
  • Implementing estates‑related annual PLACE inspections and action plan/improvement programmes
  • Maintaining and managing the database that holds information on all Trust staff and team locations
  • Ensuring floorplans are accurate and up‑to‑date in collaboration with the Capital Team in Estates and Facilities
  • Managing occupation surveys, including organisation, communication and physical installation removal of monitoring devices, and collating data reports
  • Exploring digital solutions to manage estate utilisation
  • Delivering accommodation solutions on time and meeting stakeholder requirements
  • Managing all workplace accommodation projects across the Trust, including large‑scale moves
  • Co‑ordinating office moves, arranging recharging of costs to relevant areas, keeping IT informed of changes, and organising installation of data and electrical points
  • Ensuring all occupant communication and coordination with staff and managers at all levels to fully understand their needs
  • Providing finance support: raising purchase orders, monitoring deliveries/works, and recharging accordingly to stakeholders in line with standing orders and instructions
