Responsibilities

  • Enter and update patient information in the Trust Medway Clinical Systems.
  • Make clinic bookings, rearrange appointments, and close clinics in real time.
  • Scan all ED documentation into the Electronic Document Management System.
  • Print, prepare, and dispatch patient health records and health record supplements.
  • Support ambulance and taxi arrangements for patients and relatives.
  • Identify overseas visitors, notify Liaison Personnel, and complete required documentation.
  • Work as directed by the nurse in charge for rapid registration of ambulance cases.
  • Provide front‑of‑house customer service, handling enquiries via fax, telephone, and e‑mail.
  • Deal with first‑line complaints and refer to appropriate staff or departments.
  • Support staff in the Emergency Assessment Unit, Paediatric Area, Stretcher Triage, and Reception.
  • Calibrate and maintain scanners before use each day.
  • Ensure accurate registration of Emergency Department patients’ demographics and maintain data quality procedures.
  • Assist in the management of patient out‑of‑hour prescription processes.
  • Actively assist with bed and discharge processes to support patient flow.
  • Support the Trust’s patient activity to meet departmental targets.

Qualifications & Requirements

  • Flexible approach to working, including early, late and night shifts.
  • Excellent communication skills and a professional, smart appearance.
  • Strong customer‑service focus.
  • Essential keyboard skills and ability to learn system operations quickly.
  • Previous experience in a busy reception or similar setting is essential.
  • Ability to meet rotational shift patterns and support the team during peak times.

Training Responsibilities

  • Attend all IT training and stay up‑to‑date with system updates.
  • Complete Trust mandatory and departmental non‑clinical training.
  • Maintain annual Adult and Children’s Safeguarding Level 2 training.
  • Be knowledgeable of Records Management, Information Governance, Caldicott, confidentiality, and the Data Protection Act.
  • Participate in customer‑care workshops and Personal Resilience courses.
