Responsibilities

  • Provide comprehensive, quality, confidential administrative support to the Community Teams.
  • Organise own workload and coordinate activities with the Community Coordinator to ensure efficient service delivery.
  • Act as a flexible resource to support Community Service teams across the CCICP footprint, ensuring continuity of services.
  • Have direct contact with service users, carers, the general public, and internal and external clinical and non‑clinical colleagues.
  • Exercise initiative suitable to the role and support colleagues within the team.
  • Manage calls and referrals, and support clinical staff in responding to the health needs of the population.
  • Process and monitor patient flow or waiting times, liaising with clinical staff to ensure timely and efficient patient care.
  • Liaise with a range of internal and external services and teams regarding referrals, appointments, patient records, and multidisciplinary meetings.
  • Make, receive, and respond to enquiries using appropriate communication and judgement skills, escalating to relevant team members as required.
  • Build and maintain constructive relationships with internal and external stakeholders to improve service effectiveness and efficiency.
  • Provide and receive information to and from parents/carers/advocates on behalf of the patient in accordance with the Trust’s policies and guidelines.
  • Assist with workload and provide cross‑cover for other administrative staff when required; be flexible regarding working hours.
  • Support the Community Teams with audits, reports, and other measurement activities, including managing databases, obtaining information, and presenting results.
  • Support the efficient and effective use of resources (e.g., equipment, supplies, materials).
  • Carry out additional duties and responsibilities delegated by the Community Coordinator or other Senior Manager.
