Job purpose: To supervise the day-to-day activities and develop the operational and financial performance of the Support Services provision of the Contract in line with budget and contract obligations. Providing leadership and direction for Support Services staff including Reception, Stores and Helpdesk on the HSE Buxton contract.
Responsibilities:
- Understand the Support Services element of the Contract (Schedule 12, Part 7) and provide guidance and direction to ensure that the services are delivered to the required KPI standard.
- Produce rotas/schedules in advance, ensuring all shifts on Reception and the Helpdesk are covered to meet the minimum contractual requirements.
- Control expenditure and maximise income to achieve or exceed budgeted financial performance.
- Carry out appraisals of direct reports and ensure that their potential is developed.
- Lead, plan, communicate and deliver agreed change initiatives on programme to improve performance.
- Ensure that staff are fully trained to carry out their work.
- Ensure that absenteeism, overtime and agency work is controlled and minimised in accordance with Mitie process.
- Provide leadership in awareness and responsiveness to Health and Safety issues, ensuring risk assessments are regularly reviewed, updated where necessary and communicated to security staff.
- Make decisions within parameters set by manager, using job/specialist experience.
- Supervise the activities of others to meet deadlines and quality standards taking account of impact outside the area of responsibility.
- Ensure new staff are fully inducted and have read, understood and signed on to risk assessments prior to working on the contract.
- Produce month-end reports to management on clients within the agreed timescales.
- Carry out any reasonable request from the Management team as required to fulfil the role and support the wider contract.
- Be in control of waste onsite including hazardous and domestic ensuring it co-incides with the recent guidelines and liaise with contractors for disposal.
- Control of soft services contractors including waste, plant maintenance and pest control ensuring smooth and effective maintenance is carried out.
- Ensure reprographics are completed on time and are presented as requested.
What we are looking for:
- Previous admin/helpdesk experience
- Driving licence (due to location)
- Understanding of Health and Safety legislation
- Leadership or supervisor experience
- Ability to lead and prioritise your own workload
- Initiative to help create business innovations and improvements
- Microsoft knowledge and computer experience (Excel, Word, PowerPoint)
Hours: 08:30 - 17:00 - 37.5 per week
