As a Scheduler, you will be the heart of the hard Services Facilities team. You will be responsible for ensuring all maintenance tasks are planned and assigned to engineers. Your attention to detail will be crucial to ensure strict KPIs are met and financial deductions are avoided. You will be comfortable working within a team and by yourself and enable the delivery of the statutory and contractual obligations to the highest standard.

Main duties

  • Allocate reactive and planned maintenance jobs to engineers and subcontractors.
  • Prioritise reactive jobs based on classification.
  • Monitor response times and rectification times for jobs ensuring contract compliance.
  • Liaise with subcontractors to book and coordinate jobs and then liaise with the customer for access where required.
  • Update the CAFM system to process and complete jobs.
  • Assist in gathering reports for the month end reporting.
  • Provide excellent customer service to occupants.
  • Provide accurate records and reports and maintain all work order documentation.
  • Undertake additional duties as required.

Contractor & Stakeholder Management

  • Liaise with contractors, the facilities team and end‑user stakeholders to minimise disruption and communicate planned works.

Compliance, Quality & Sustainability

  • Meet or exceed contractual KPIs and service levels; ensure standards are consistently achieved.
  • Maintain documentation for inspections, audits, and quality checks.

Person Specification

Qualifications & Experience

  • Previous experience in FM scheduling.
  • Experience working on a CAFM system.
  • Understanding of a PFI contract.
  • Excellent problem‑solving and communication skills and the ability to interact professionally with different stakeholders.
  • Attention to detail ensuring work is completed accurately and to a high standard.
  • Ability to work under pressure and be comfortable working within a small team or individually.
  • Be able to achieve full security clearance.

Health & Safety

  • Follow H&S guidelines to ensure compliance with Health & Safety legislation and MOD/Estates policies (e.g., risk assessments, method statements, permits to work, toolbox talks, safe systems of work).
  • Participate in robust hazard reporting, near‑miss capture, and incident investigation; complete corrective and preventive actions.
  • Coordinate with Security and Facilities teams to uphold MOD site rules, access controls, and restricted‑area protocols.

Information Security

  • Ensure compliance with Mitie's information security procedures in all activities.
  • Proactively identify and report security risks to your manager.
  • Report actual and suspected security incidents.
