Morson Edge are currently seeking a Co‑Ordinator on a permanent basis to support the Wildcat Maintenance Services at RNAS Yeovilton. The role provides administrative and building management support to the Wildcat Contractor Maintenance (WCM) and Wildcat Support Services (WSS) departments, including assisting WMS Managers as required.
Responsibilities:
- Act as the Building Manager for Support Services B654 and B163.
- Act as Building and Facilities Manager for WCM B663 (H9) including Portakabin facilities.
- Report problems to VIVO and update Management.
- Direct liaison with Defence Digital for the creation and amendment of MODNet IT accounts.
- Manage LH documents on LH SharePoint as required.
- Managing mail & correspondence received as required.
- Collate data and produce reports including QDC & KPIs, supporting Deputy Manager.
- Collate and draft minutes for the weekly WCM & WSS engineering meeting and distribute final copy to relevant parties.
- Produce visitor notification documents and interim hosting ensuring compliance with RNAS Yeovilton Standing Orders.
- Assist with introduction of new personnel and department leavers by assigning lockers to new starters and updating photo charts, office records, and sharing them with relevant personnel.
- Maintain MODNet for WIST.
- Keep DISP requests up to date to include leavers, joiners, role changes and hardware requests.
- Ensure personnel information/documents remain in date, updated when necessary and circulated to relevant personnel.
- Escort personnel / visitors to and from the main gate as required.
- Manage office equipment, stationery and supply accounts.
- Create and maintain an asset register for valuable/attractive items of stationery.
- Maintain WCM / WSS notice boards ensuring information displayed is current.
- Support collecting deliveries from the Air Station main gate.
- Produce presentation material.
- Responsible for distribution of vacancy posters.
- Escalate additional resources/requirements for Management approval.
- Serve as focal point for coordination of all WCM and WSS stationery requirements.
- Serve as focal point for request, maintenance, repair and replacement of printers and IT hardware.
- Co‑ordinate conferences and meetings and take minutes as required.
- Provide administration of the LH lease vehicles pertaining to WCM and WSS.
- Control, record and file vehicle utilisation and fuel card log.
- Ensure vehicles remain in date for servicing, MOT and defect rectification through liaison with the WMS coordinator.
- Maintain sign‑out sheets and retain monthly vehicle usage and before‑use inspection logs.
- Collaborate with Morson Technical Services HR team – collate documentation and attendance forms, coordinate occupational health appointments and manage PPE requests and clothes orders.
- Maintain a system for timely liaison with RNAS Yeovilton security to ensure MOD FAY access passes are issued and renewed accurately and timely.
- Monitor the RNAS Yeovilton intranet site/announcements and circulate any relevant information to maintain awareness of changes to Air Station policies, requirements, and activities.
- Maintain close liaison with multiple areas including Wildcat Training Centre, RNAS Yeovilton Command/4C’s/Security/IT/Defence Digital/Infra and MOD personnel, WMS Management Team, LH(UK) Departments A/C Services/IT/WIST/SMO/Training Academy/WTC Planning, Morson Technical Services HR/Contract Support, Morson Resources Support Manager (South), and Morson Contract Support Officer.
Knowledge, Skills and Experience:
- Previous experience operating an office, preferably in a technical or workshop environment.
- Extensive knowledge of Microsoft Office systems including MS Word, PowerPoint, Excel and Outlook.
- Able to design and manipulate databases, spreadsheets and PowerPoint presentations to streamline activities and provide detailed management information.
- Clear and effective communication throughout all levels of business.
- Effective planning and time appreciation.
- Familiarity with AI platforms and automation tools and comfortable with emerging technologies.
- An understanding of Human Factors.
- A basic understanding of the Data Protection Act and storage of personal material.
