We are looking for a highly organised, proactive, and confident Executive Assistant to provide exceptional support to our clients CFO and other board members. This is a key role at the heart of the organisation—perfect for someone who thrives in a fast-paced environment, enjoys variety, and takes pride in keeping operations running smoothly.
As the Executive Assistant, you will be the go-to person for coordinating executive activities, managing complex diaries, ensuring seamless communication, and supporting essential business processes. Your work will enable the Executive Team to focus on strategic priorities, helping drive the success and efficiency of the wider organisation.
Key Responsibilities- Proactively manage complex diaries across multiple time zones for the board.
- Monitor and triage executive inboxes, ensuring timely follow-up and prioritisation acting as a gatekeeper.
- Prepare and submit executive expense claims and manage reconciliation of the board's company credit card.
- Provide occasional personal support to the CEO where required.
- Draft and prepare high-quality presentations, reports, briefing papers, agendas, letters, and internal documents.
- Ensure executives are fully briefed and prepared ahead of all meetings.
- Coordinate document signing and contract approval workflows.
- Manage holiday bookings and expense approvals for executive direct reports.
- Support the smooth delivery of internal communications, including reviewing and approving company-wide messages.
- Schedule meetings, take minutes, and manage follow-ups for all weekly and monthly Board, Executive, Committee, and Shareholder meetings.
- Coordinate and distribute the monthly Board Pack.
- Assist with KYC documentation and liaise with banking partners on related processes.
- Act as the first point of contact for IT support queries from the Executive Team, escalating when needed.
- Coordinate logistics for company events such as Sales Away Days, Shareholder Meetings.
- Oversee office supplies and services across four sites.
- Manage facilities budgets, spend, and relationships with third-party contractors.
- Maintain compliance logs (e.g., emergency lighting, water temperatures, first aid). Support internal audit preparation ISO, etc.
- Open, scan, and distribute post for the Clevedon office.
- A highly organised multitasker with excellent attention to detail.
- Someone who thrives on variety and can adapt quickly to shifting priorities.
- A confident communicator able to work with stakeholders at all levels.
- A problem-solver who takes initiative and works independently.
- Previous experience supporting C-suite executives is highly desirable.
