Overview: Are you a passionate individual who prides themselves on delivering proactive and effective building management? Your experience as a building manager and front‑office guard will be essential to further your talents in one of our modern commercial properties in Birmingham. As the building manager, you will be responsible for the day‑to‑day management and operational activities in line with all health and safety, environmental and client/company procedures. Services will include general management of the building, security, safety, general compliance and managing contractors.

Key Responsibilities:

  • Assist with ensuring the upkeep and maintenance of the building while interacting with tenants on a daily basis.
  • Ensure that health and safety procedures are strictly adhered to.
  • Maintain and produce up‑to‑date health and safety records.
  • Answer all incoming telephone calls and provide relevant information to callers.
  • Assist with ensuring the site security and good practice is maintained at all times.
  • Oversee general maintenance of the site, ensuring common areas and grounds are kept to the required standard.
  • Maintain accurate records of all incidents, occurrences and observations on all security and safety matters.
  • Liaise with tenants, client representatives, emergency services, external agencies and members of the public and assist as necessary.
  • Control and monitor vehicle and pedestrian movements on site in accordance with approved safe systems of work.
  • Ensure smooth running of front of house for reception and security services.
  • Manage visitor access efficiently.
  • Report cleaning faults and issues to the on‑site cleaning staff.
  • Notify the FM of any repairs that are required in the building.
  • Keep a record of all reported faults in the building and the procedures taken.
  • Prepare, monitor and reconcile the annual service charge budget.
  • Carry out regular inspection audits of the site.
  • Attend and chair meetings with clients and tenants.
  • Ensure all health and safety audits are carried out in accordance with the planned programme and that all follow‑up actions are completed within due timetable.
  • Draft and update emergency plans, evacuation procedures, and oversee security, fire prevention and other safety systems.
  • Manage major work programmes on site and arrange building improvements, including monitoring maintenance budgets.
  • Create and maintain building documentation, including scheduling contractors and employees.
  • Identify building contractors on site and describe works being carried out.
  • Conduct regular check calls with control in accordance with the site assignment instructions.
  • Monitor and control contractors working on‑site in accordance with client instructions.
  • Maintain contact with the appropriate management of each tenant and deal with requests, complaints and all other incidents such as emergencies and disruptions due to building alterations.
  • Monthly tenant engagement meetings.
  • Social media and event planning while ensuring health & safety are always adhered to.

Qualities & Qualifications:

  • Previous experience in a similar role.
  • BIFM/IOSH/NEBOSH/SIA qualifications.
  • Ability to work on your own initiative and within a pressurised environment with excellent organisational and management skills.
  • Maintenance experience.
  • Excellent eye for detail.
  • Understanding of commercial leases and the landlord–tenant relationship.
  • Good understanding of Building Regulations, codes of practice and standard practices.
  • Educational qualifications that demonstrate proficiency in English, Maths, budgeting and accounting.
  • Good understanding of service charge budgets and accounting principles.
  • Experience managing in‑house and supplier staff.
  • Good health and safety and environmental knowledge.
  • Good mechanical and electrical services knowledge.
  • Experience in risk assessments and staff welfare.
  • Interpersonal skills for sustaining effective relationships and partnership working internally and externally.
  • Delivered to deadlines (projects, KPIs and SLAs).
  • Understanding of what great customer service looks like.
  • Knowledge and experience of working with IT digital platforms.
  • Excellent communication skills (oral and written) to initiate and respond to correspondence, take notes and minutes, and apply safety policies accurately.
  • Excellent influencing and facilitation skills.
  • Works accurately with detailed information to ensure practical tasks and instructions are implemented effectively by self and others.
