Main duties of the job include providing high-quality administrative and PA support to senior clinicians and the clinical service manager within the FIRST service, ensuring effective coordination of diaries, meetings, MDT activity, and governance processes. The post holder will supervise and coordinate administrative staff, supporting recruitment, induction, workload allocation, and staff development to ensure efficient and consistent service cover. The role also supports the collection, validation, and reporting of clinical activity data, maintains effective administrative systems, contributes to service improvement, and ensures compliance with information governance, confidentiality, and clinical governance requirements. Acting as a key point of contact, the post holder supports strong working relationships across teams, services, and partner organisations.

Person Specification:

  • Training and Qualifications: Diploma/Degree level education in Supervision & Management, Business Administration; GCSE English 5 or above or equivalent; RSA 2 Typing or equivalent IT qualification.
  • Knowledge and Experience: Significant experience of providing secretarial support at senior management level; experience of managing and supervising a team; proficient in the use of Microsoft software packages including Outlook, Excel and PowerPoint; previous experience of working in a healthcare environment/public service provider; experience of supporting meetings and minute taking and following up on actions.
  • Leadership and Management: Evidence of leadership and managerial decision-making abilities; excellent written and verbal communication skills; ability to work on own initiative; ability to manage and prioritise own workload; experience and knowledge collating and monitoring clinical activity data/information.
