The closing date is 24 May 2026. Provide a fully comprehensive administration service to the Forward Thinking Birmingham (Division of the Children and Young Peoples Division). The post works in a fast-paced environment, which requires a calm but proactive approach with the ability to multi-task whilst being thorough. Telephone calls and enquiries form a large part of the role as does a high volume of standard administrative tasks. Attention to detail is paramount in this post as is the ability to prioritise workload.
Main duties of the job:
- Daily contact with Administration Leader to prioritise work for the day/week.
- Administration duties, printing and photocopying, taking numerous telephone calls and enquiries, responding in a professional manner in line with data confidentiality procedures.
- Upload all referrals sent into RMC using the EPR system to process.
- Deal with queries from service users, including GPs, patients and their representatives via the telephone in a professional manner that is consistent with legislation policies and procedures including data protection and confidentiality, sourcing any related information that might help deal with the query.
- Taking accurate written messages and passing more complex queries on to the relevant staff.
- Daily use of Outlook for communication (sending/receiving e‑mails), as well as booking and checking of meeting rooms and equipment booking.
- Provide a telephone answering service for service users and professionals, transferring to appropriate members of staff, or taking messages and ensuring that details are accurately logged when required.
- Upload new patient records, ensuring the relevant information is correct and up to date.
- Deal with incoming queries to administration team shared mailbox.
- Validate patient details and demographics in that any changes to patient details are updated on the FTB database.
- Complete daily closures and complete letters to be sent to service users directing them to correct pathways, provided by the clinical team.
