Location: Hybrid (Home-based and Nottingham Clinic)
Please note: Attendance at our Nottingham Clinic every Tuesday is a mandatory requirement of this role.

The Opportunity
We have an exciting opportunity for a Donor Bank Coordinator to join our specialist Donation team.
This is a rare opportunity to develop expertise within the field of fertility donation, supporting a wide range of patient pathways including egg, sperm and embryo recipients, altruistic donors, shared motherhood arrangements, known donor cycles, and surrogacy journeys.
As a Donor Bank Coordinator, you will play a vital role in supporting donor recruitment activities, donor bank administration, and patient coordination. Working closely with clinics, donors, patients, and external partners, you'll help ensure safe, compliant, and compassionate care at every stage of the donation process.
This role would suit an organised and detail-oriented individual who enjoys working in a highly regulated healthcare environment and is passionate about making a difference to patient experiences.
What You'll Be Doing
Donor Bank Management
- Supporting the administration of egg, sperm and embryo cryobanks
- Coordinating donor material allocation, matching, reservations, storage, transfers, imports and exports
- Monitoring consent status, family limits and regulatory requirements
- Maintaining accurate records and supporting audits and reporting activities
- Liaising with clinics and external partners to support donor bank operations
Patient and Donor Support
- Providing clear, professional and compassionate information to patients and donors
- Supporting consent processes and ensuring documentation is completed accurately
- Escalating complex issues appropriately and maintaining excellent customer service standards
Administration and Coordination
- Maintaining accurate information across donor and patient management systems
- Processing documentation and data efficiently and accurately
- Supporting service improvements and operational developments
- Using Microsoft Office and digital systems to manage records and communications
Governance and Compliance
- Ensuring compliance with HFEA regulations, GDPR, company policies and standard operating procedures
- Supporting audits, inspections and quality improvement initiatives
- Maintaining accurate documentation and audit trails
- Reporting incidents and managing complaints in line with procedures
About You
- Excellent organisational skills and exceptional attention to detail
- Previous experience in an administrative, coordination or healthcare support role
- Confidence working with databases, systems and complex information
- Strong communication and relationship-building skills
- The ability to manage competing priorities and work independently
- A patient-focused approach with empathy and professionalism
- Experience working within a regulated environment (desirable)
- A commitment to providing outstanding service and continuous improvement
