Reports to COO with a line to the CEO
Join Us at the Centre for ADHD Research and Excellence: Shaping the Future of Accessible Healthcare. Care ADHD is building a new category in neurodevelopmental healthcare. We are not simply a clinic. We are a scaling healthtech organisation redesigning how neurodevelopmental services are delivered, experienced and trusted. What started as an adult ADHD service is evolving into a broader platform combining clinically rigorous care, digital infrastructure, AI-enabled tools and operational scale. We already deliver care at significant volume across the UK. We are now entering the next phase of growth.
What we are looking for? We’re looking for a Head of PMO who can bring clarity, structure and calm coordination to a fast‑scaling HealthTech organisation. This is a senior operator who is comfortable sitting at the centre of complexity, translating ambition into sequenced, deliverable programmes across product, technology, clinical operations and governance. You will combine strong portfolio leadership with sound judgement in regulated environments, ensuring that major initiatives land safely, operationally ready and in the right order.
Why This Role Exists: As we scale, complexity increases. The PMO ensures that all of this happens in the right sequence, with the right visibility, and without avoidable collisions. This role exists to bring structure, transparency and coordination across major cross‑functional initiatives.
What You’ll Be Doing:
- Maintain a live, single source of truth portfolio view across major strategic initiatives.
- Create visibility of milestones, dependencies, sequencing risks and delivery confidence across functions.
- Work with functional leads to identify which initiatives should be managed locally, which require light PMO visibility, and which need full PMO oversight.
- Coordinate cross‑functional delivery across Product, Technology, Clinical, Operations, Governance and international expansion activity.
- Establish and run an effective portfolio cadence for planning, escalation, prioritisation and executive reporting.
- Ensure operational readiness is properly assessed before major launches, service changes or market entries.
- Surface delivery trade‑offs early, including where timelines, scope, capacity or sequencing are unrealistic.
- Provide clear reporting to the COO, CEO and Executive team on delivery status, confidence, key risks and critical dependencies.
- Support major launches so they feel structured, well‑prepared and operationally stable – not improvised.
- Help the business move faster by reducing collisions, ambiguity and rework.
Decision Framework: This role will help operate a practical PMO decision model. Initiatives with low cross‑functional impact, low risk and limited strategic significance may remain managed locally within a division; initiatives with moderate complexity or some executive visibility may require light PMO visibility; initiatives with any high‑risk characteristic, or several medium‑complexity characteristics, will require full PMO oversight.
What This Role Is: This is a senior portfolio orchestration role at the centre of a scaling healthtech organisation. You will maintain oversight across the change portfolio, helping the business distinguish between initiatives that can be managed locally within a function; initiatives that require light PMO visibility; and initiatives that need full PMO oversight because of cross‑functional dependency, risk, complexity, strategic significance or operational impact.
What This Role Is Not: This is not a traditional PMO role focused on producing reports no one reads. It is not a project manager role directly running every individual initiative. It is not a governance role sitting inside one service line. It is not about slowing teams down with unnecessary process, or second‑guessing Product, Technology or operational leaders.
How This Role Fits With The Wider Organisation: This Head of PMO role is broad and senior in its remit. It sits across the organisation and is responsible for coordinating major change across Product, Technology, Clinical Operations, Governance, commercial priorities and international expansion.
To Thrive In This Role You’ll Need:
- Significant experience in programme, portfolio or transformation leadership in healthcare, healthtech or another regulated environment.
- Experience coordinating complex multi‑workstream initiatives across multiple business functions.
- Strong judgement on when to apply structure, and when not to.
- Experience giving senior stakeholders clear, credible visibility on risk, dependencies, sequencing and delivery confidence.
- Commercial awareness and the ability to balance pace, risk, capacity and strategic value.
- The confidence to challenge unrealistic timelines or conflicting priorities in a constructive way.
- A calm, structured and credible style with senior leaders.
- Strong operational instincts: you understand that successful delivery depends not just on building something, but on whether the organisation is actually ready to use it.
You May Be a Strong Fit If You:
- Have led portfolio or programme coordination in a high‑growth or high‑change environment;
- Know how to bring order to ambiguity without becoming overly process‑heavy;
- Can work effectively with executives, while also building trust with functional leaders;
- Understand the difference between useful control and control theatre;
- Enjoy being the person who sees the whole picture and helps others act on it.
What Success Looks Like: You will know this role is working if the organisation feels calm and delivery is on track, even while we move at pace.
Your first 12 months:
- Within 3 months: You have built a clear portfolio view across active strategic initiatives.
- Within 6 months: The Executive team has stronger confidence in sequencing, risk visibility and delivery realism.
- Within 12 months: The PMO is recognised as a practical enabler of scale, not an administrative layer.
Why this matters now: We are entering a phase where multiple major initiatives will run concurrently across the UK and internationally. Without coordination, scale creates friction. With the right orchestration, scale creates momentum.
If you enjoy bringing coherence to complexity, and want to help build the delivery discipline behind ambitious growth, we would love to hear from you.
