Reporting to the Research Officer, you will provide an administrative service to the School, engaging and completing a range of tasks to meet operational and customer service requirements.

You will provide support and guidance on a range of administrative duties, as detailed in the job description, to ensure the professional services team is supported and key duties undertaken.

You will have the ability to communicate effectively and professionally with a wide range of people and the ability to work as an effective team member, providing advice and guidance to other team members where necessary

The role is full time, 35 hours per week and is fixed term until 30th September 26.

Work is currently on a Hybrid basis with the balance towards on premises attendance and is determined by the needs of the organisation., Providing comprehensive and professional support to the School of Physics and Astronomy, providing support and guidance on externally funded research projects and related tasks., Provide detailed advice and guidance on support for research and financial processes and procedures to internal and external customers (staff, students or members of the public), using judgement and creativity to suggest the most appropriate course of action, and contributing to the solving of more complex issues.

Work with others to make recommendations to improve our ways of working.

Establish productive relationships with key individuals (University colleagues and external contacts) to help improve the level of service the team provides to its customers.

Perform a variety of administrative duties to support the team and department achieve its objectives.

Gather and analyse data (e.g. spend profiles, research outputs ) so that informed decisions can be made, establishing basic trends and patterns in the data and providing reports and recommendations for management.

Instruct and guide colleagues across the University within support for research as required.

General Duties

Specific Duties

Assisting with research output support, such as ensuring publications are open access

Providing support on budgeting and forecasting for research projects, monitoring spend and producing reports

Supporting PGR administration, including demonstrating and stipend payments and bench fees

Arranging meetings and events

Ability to communicate in writing clearly, concisely, and effectively to provide detailed advice and guidance on externally funded research and financial processes.

  1. Evidence of a good standard of numeracy and IT literacy.

  2. Experience of working in an administrative role or environment and ability to set up standard office systems and procedures, making improvements to these as appropriate.

  3. Specialist knowledge of the University’s research and financial processes.

  4. Ability to communicate specialist and complex information effectively and professionally to a range of customers with varying levels of understanding.

  5. Ability to advise and influence key stakeholders in your area of work.

  6. Ability to explore customers’ needs and adapt the service you provide accordingly to ensure a quality service is delivered.

  7. Ability to use your initiative and creativity to solve problems, respond to queries and make recommendations, identifying and proposing practical solutions.

  8. Ability to work unsupervised to deadlines, planning, setting and monitoring your priorities and those of the team.

  9. Experience of using the University’s research management software, such as Business Objects, Oracle, ORCA and Converis.

Desirable Criteria

  1. Experience of working in a similar role or environment, e.g. Higher Education.

  2. Ability to speak/understand Welsh or a willingness to learn.
