Overview: The role involves proactive management and recording of patient demographic and treatment data, ensuring administration processes support high-quality patient care within the Adult R2C ADHD service.

Key Responsibilities:

  • Receive, manage and record patient demographic and treatment data.
  • Plan forward to meet administrative needs and support delivery of patient care.
  • Arrange, book and manage patient follow-up appointments.
  • Analyse patient pathways versus outcomes and escalate to relevant staff.
  • Ensure completeness and accuracy of patient information in the clinical system.
  • Investigate and correct system discrepancies; maintain up-to-date GP and personal contacts.
  • Process prescription, expedite and clinical letter requests received into the service.
  • Interact with patients, carers, visitors and staff using written, verbal and interpersonal skills.
  • Handle enquiries professionally, redirecting queries appropriately.
  • Provide non-clinical advice and guidance following service policy.
  • Support the Adult R2C ADHD team with incoming calls, referrals, correspondence and emails.
  • Take notes and pass on information, exercising independent judgement and discretion under data protection and confidentiality guidelines.
  • Coordinate and oversee bookings on clinical systems, reporting issues as needed.
  • Prioritise duties, ensuring deadlines are met.
  • Enter correspondence including letters and reports.
  • Maintain office filing systems, ensuring confidentiality.
  • Engage in statutory training, additional training, annual performance reviews and clinical supervision.

Qualifications and Skills:

  • Excellent IT skills with word processing and data entry experience.
  • Excellent communication skills, including a professional telephone manner.
  • Experience with TPP SystmOne and other clinical systems.
  • Strong organisational and prioritisation skills.
  • Ability to work independently with initiative.
  • Commitment to professional and personal development.
  • Respectful, approachable and calm during stressful situations.
  • Motivation to achieve goals and promote diversity and equality.
  • Mathematics and English GCSEs grade C or above, or equivalent qualification.
  • Valid driver’s licence and own car.

Experience:
