We are looking to recruit a full‑time Team Leader to work Monday to Friday and join our large friendly team in modern premises.

The Team Leader will ensure that all reception team functions are delivered smoothly to meet the needs of the patients, supervising the team daily and carrying out operational administrative responsibilities.

Responsibilities

  • Provide effective leadership and assistance to the reception team.
  • Supervise the reception team, waiting areas and overall smooth running of the clinics and administrative functions.
  • Manage the reception roster and arrange cover for annual leave and unplanned absences.
  • Support the Assistant Practice Manager (APM) and share duties and workload at reception as required.
  • Handle incoming Accurx Triage online requests in line with practice protocols and assign them to staff.
  • Assist the APM with maintenance of the appointment system, including adding clinics/sessions to EMIS, managing cancellations and rescheduling appointments.
  • Co‑ordinate monthly submissions to the Prescription Pricing Authority.
  • Ensure the practice reception runs smoothly, patient queries are met in a timely, courteous and efficient manner.
  • Hold monthly team meetings, circulate minutes and address issues with the APM.
  • Design induction plans for new staff, plan protected learning sessions, and support individual performance reviews with the APM.
  • Allocate and manage Accurx Triage online forms; order and keep adequate stock levels of stationery related to clinical areas.
  • Collate and return information to the Prescription Pricing Authority and send completed spreadsheets to the finance partner.
  • Maintain the reception and waiting areas, ensuring cleanliness, health and safety standards, and up‑to‑date patient information.
  • Manage the practice meetings diary and send invites to external parties.
  • Assist with setting up new users on EMIS Web and perform practice audits relating to appointments and repeat prescribing.
  • Attend practice‑wide meetings, regular meetings with the Practice Manager, the APM and external NHS bodies as appropriate.
  • Follow complaint procedures and report damaged or faulty medical equipment to the relevant practice staff.
  • Support the Practice Manager to ensure efficient and productive operation of the practice.
  • Promote equality, diversity and rights of patients, carers and colleagues, respecting privacy, dignity and beliefs.
  • Maintain confidential information with strict adherence to practice policies and procedures.

Qualifications and Experience

  • Previous experience of working in a primary care setting.
  • Working knowledge of EMIS Web.
  • Good written and spoken English.
  • Experience of supervising small teams.
  • Ability to work autonomously and as part of a team.
  • Previous experience managing an appointment system.
  • Strong communication and negotiating skills.
  • Capacity to cope under pressure, reliable, patient and good with people.
  • Uphold confidentiality and customer care standards.
  • Willingness to work within the structure of a Primary Health Care Team.
