Overview
This is an exciting opportunity to work at the heart of the Weston Park Cancer Centre as part of our SACT Scheduling Team and lead our SACT reception and admin support team.
The post holder will work closely with the day case nursing, pharmacy and admin teams at Weston Park Cancer Centre (WPCC) to provide an effective service.
You will undertake line management duties such as appraisals, sickness meetings and work closely with the Service Coordinator regarding disciplinary issues.
You will be responsible for rota management to ensure appropriate A&C cover for the Day Case Unit and Burleigh Medical Centre.
You will attend regular meetings with the Service Coordinator to report on Day Case issues and assist in reviewing patient activity.
In addition to line management duties you will ensure that Systemic Anti‑Cancer Therapy (SACT) is scheduled efficiently and effectively across the Day Case Units at both Weston Park Hospital and Burleigh Medical Centre and, if required, the South Yorkshire, Bassetlaw and North Derbyshire Cancer Alliance.
The base for the service is Weston Park Hospital, Sheffield, S10 2SJ and also Burleigh Medical Centre.
In addition, the post holder may also be required to undertake duties at any of the other sites where Sheffield Teaching Hospitals delivers cancer treatment activity, and it is a condition of employment that they are able to.
Responsibilities
This role will be involved in making a positive difference to the patient's experience of cancer treatment and will include:
- Leading a team of administrative staff and providing high‑level administrative support.
- Planning, allocating and prioritising the team's workload and meeting objectives to deadlines.
- Maintaining an electronic database across multiple systems and applications.
- Acting as a super user of an IT system and analysing information to make evidence‑based decisions.
- Scheduling and timetabling SACT treatments and coordinating patient flow across multiple sites.
- Providing 1:1 training and mentoring as needed.
- Working in partnership with other teams and departments, including day case nursing, pharmacy and external partners.
- Managing capacity and demand on the Day Case Unit through initiative and judgement.
- Ensuring patients and staff are well informed and that confidentiality and NHS booking procedures are followed.
- Addressing sensitive issues with empathy and maintaining professional conduct in challenging situations.
Qualifications
- GCSE Maths and English grade 4/C (or equivalent) or NVQ Level3 in Administration/Customer Service or Team Leading, or equivalent qualification or demonstrable experience.
- Experience of working in an operational service providing customer service to internal or external business partners and the public.
- Experience of leading, motivating and monitoring the performance of a team.
- Experience of planning, allocating and prioritising a team's workload.
- Experience of working in partnership with other teams and departments.
- Experience of meeting objectives to deadlines personally and through a team.
- Experience of providing 1:1 training.
- Experience of acting as a super user of an IT system.
- Experience of analysing information in conjunction with operational guidelines to make evidence‑based judgments and decisions.
- Experience of maintaining an electronic database and data across multiple systems and applications.
- Experience of working in NHS, knowledge of scheduling and timetabling processes.
- Knowledge of NHS booking procedures, Cancer pathways and pathways involved in SACT services.
- Exceptional interpersonal and customer care skills.
- Excellent planning and organisational skills, with the ability to organise and prioritise own workload and that of a team.
- Excellent verbal and written communication skills to keep patients and staff well informed.
- Excellent ICT skills and an interest in adopting new technology to improve the patient experience.
- Ability to accurately input, manipulate and transfer data from one medium to another.
- Ability to use initiative and own judgement to identify, analyse and resolve problems related to capacity and demand on the Day Case Unit.
