- Job Responsibilities
- Receive and process all imaging referrals efficiently and in a timely manner.
- Maintain an understanding of the Radiology Information System (RIS) to create and locate imaging records in support of patient care.
- Register patients onto the Careflow system if no record can be found in RIS prior to booking an appointment.
- Ensure all appointments are booked in RIS in accordance with the standard operating procedures of the 18‑week RTT pathway for each modality.
- Be aware of patients’ needs when booking appointments and make any necessary adjustments to appointment times and travel arrangements, and if required, arrange an interpreting service.
- Provide a professional and courteous telephone service, answering queries and relaying messages to patients and hospital staff.
- Manage electronic orders on the radiology system, checking data thoroughly before sending for processing.
- Maintain a high‑quality service in a busy call centre environment, ensuring emails are actioned and responded to promptly.
- Receive and process paper referrals quickly and efficiently, while maintaining national and local standards.
- Communicate at a high standard of written communication over email correspondence on a regular basis.
- Input and update RIS, ensuring accurate patient records and a high standard of data quality.
- Carry out general clerical duties including filing, photocopying, and post processing.
- Work effectively in a team, supporting others and maintaining good working relationships.
- Keep up to date with organisational changes to provide responsive and efficient service.
- Carry out any other duties delegated by the Coordinators or the Appointments Supervisor.
- Always maintain strict confidentiality relating to staff, patients, and the Trust’s operations.
- Be adaptable to work with the team when booking appointments.
Qualifications
- Educated to GCSE standard (or equivalent).
- Previous telephone experience.
- Previous experience of working in a team.
- Experience of accurate data input.
- Previous experience in a healthcare environment.
- Good use and knowledge of IT (MS Office).
- Previous experience working in a call centre.
- Good organisational skills.
- Ability to work under pressure.
- Excellent attention to detail.
- Working knowledge of RIS.
- Working knowledge of Careflow.
- Problem‑solving skills.
- Awareness of confidentiality.
- Good interpersonal skills.
