Job Summary

Intra Health are recruiting for a Medical Receptionist / Administrative Support for our Brook Square Surgery in Scarborough.

The post‐holder will provide a high standard of patient service and general assistance to the practice team to both clinical and non‑clinical staff, project a positive and friendly image to patients and visitors, receive and direct patients, resolve queries, and manage external agencies.

Key Responsibilities

  • Receive, assist and direct patients in accessing the appropriate service or healthcare they require.
  • Resolve queries/problems from patients, clinicians and staff.
  • Deal with external agencies such as other practices, secondary care and 3rd‑party organisations.
  • Ensure the provision of high quality patient service within a safe, efficient working environment by providing effective support to clinicians and staff.
  • Undertake clerical, reception and administration duties applicable to the medical practice.
  • Prepare and organise rooms; stock replenishment and ensure adequate stationery.
  • Ensure the reception area is tidy, safe and welcoming.
  • Make appointments for healthcare professionals using the surgery premises.
  • Answer telephones, receive and forward messages.
  • Register new patients, temporary residents, emergency patients and those requiring immediate treatment.
  • Arrange appointments for medicals and other non‑routine appointments.
  • Order emergency ambulances and distribute correct telephone numbers for routine ambulance bookings.
  • Take requests for home visits, enter information into the medical system.
  • Deal with requests and hand out repeat medication prescriptions.
  • Open and distribute internal & external mail; post letters and parcels.
  • Take specimen samples to collection point.
  • Ensure urgent or unresolved matters are passed to the appropriate person/line manager at the end of the shift.
  • Empty pathology lab results bag, date stamp results and file appropriately.
  • File medical records, letters and test results.
  • Order and sort medical records and maintain them.
  • Keep all data on the medical system up‑to‑date.
  • Record and check answering machine throughout the day.
  • Enter patient information onto the computer in a timely and accurate manner.
  • Handle letters, forms, specimen bottles, self‑certification forms and passport applications.
  • Accept and process payments for services, insurance claims and ensure petty cash items are recorded.
  • Summarise and scan patient records into the system.
  • Utilise clerical and secretarial skills to complete letters/referrals/medical reports in a timely manner.
  • Use Choose and Book, ICE or other systems where required.
  • Assist with target‑led areas such as QOF, KPI, DES, LES and NES.
  • Handle complaints in line with company procedure.

Requirements & Skills

  • Experience working in a receptionist/administrative role.
  • Effective communicator with the ability to liaise appropriately at all levels.
  • Proficient in Microsoft Word and Excel to a level enabling the production of high standard work.
  • Demonstrable team working skills.
  • Very good interpersonal skills.
  • Demonstrate an understanding of the Data Protection Act, patient confidentiality, clinical and information governance and Caldicott requirements.
  • Capacity to work calmly under pressure and to deadlines.
  • Conscientious attention to detail.
  • Self‑starter; flexible and proactive attitude.
  • Enthusiasm for the role.
  • Flexible approach to work, including evening or weekend working as necessary.
  • Willingness to play a leading role in the development of patient‑centred services.

The ideal candidate will have experience of primary care and secretarial work but training will be given.

They should be an enthusiastic, committed individual expected to work as part of the practice team with good communication and interpersonal skills.
