The post holder will be responsible for the management, leadership and supervision of a team of individuals responsible for the Purchasing, Organisation & Distribution (POD) across all aspects of ALAS. Implement opportunities for adding value to improve cost effective supply arrangements, whilst maintaining compliance to Cardiff and Vale Health Board's (CAV HB) Standing Financial Instructions.
To provide a co-ordinated PMS purchase and supply (Stock) Service, which is broad-based, cost-effective and efficient. To promote safe, legal, rational and economic use of posture and mobility equipment and all allied products to all its users. To manage the day-to-day operational organisation of the PMS stock team, including the safe, efficient and timely supply of stock equipment and accessories in accordance with departmental policy, to meet the needs of the patient and the PMS.
To organise the work of the purchase and supply staff in the stores to ensure the seamless supply of medical equipment, accessories and spares to all teams in readiness for delivery, issue and for workshop. To ensure that medical equipment stock levels are maintained at an optimum level to ensure smooth and timely delivery of the services to patients. You will proactively identify wastage and seek opportunities to ensure the service can reduce costs through more targeted and efficient stock management.
Main duties of the job:
- Ensure the efficient day to day running of the Posture and Mobility equipment stores in the PMC, managing and organising the work of the purchase and supply team.
- Ensure booking in (goods receipt) on ALAS patient and stock ordering system and checking of goods from the supplier and all necessary documentation is correctly completed, processed and filed.
- Collaborate and co-ordinate with ALAS services, and CAV HB procurement team to ensure all supplier notifications and any necessary actions associated with delivery shortages, errors, damage and inappropriate products are dealt with in a timely manner.
- Monitor and amend stock lists and department stock holding levels following appropriate audits ensuring adequate stock levels of high use accessories, spares and equipment is maintained to support service delivery.
- Monitor and review progress of all outstanding orders with suppliers and to inform user departments of any potential delay.
- To act where unreasonable delays arise if supply chain problems persist.
- To report all unresolved difficulties to the Service Manager for further action within agreed timescales.
- Investigate and resolve any finance queries.
- Manage out of stock items, chasing suppliers and keeping clinical, technical and admin staff informed of progress.
