Overview
Non‑Emergency Patient Transport services are provided by the Epsom and St Helier University Hospitals NHS Trust and its partners.
As a Planner working in the Control Room, you will plan patient journeys, allocate resources, and ensure smooth and timely transport for patients across South West London and Surrey.
Key Hours
09:00 – 17:00, Monday to Friday (hours may vary to meet service needs).
Responsibilities
- Plan and allocate patients to vehicles, ensuring maximum resource utilisation and minimal disruption of service.
- Plan routes and allocate vehicles daily using the Cleric computer‑based planning/day control system.
- Ensure accurate allocation of work to operational crews and drivers via handheld PDAs.
- Make appropriate amendments to bookings (cancellations, changes) to maintain accurate statistics for clients.
- Liaise frequently with hospital staff, PTS management, renal coordinator, and patients to ensure efficient service delivery.
- Coordinate long‑distance journeys efficiently.
- Negotiate with surgeries and hospital staff regarding appointment times and facilitation of patients.
- Make decisions on unforeseen transport problems, such as vehicle breakdowns.
- Re‑arrange work due to staff sickness or absence to maintain patient conveyance.
- Receive on‑day booking requests, liaise with hospital staff, and notify relevant clinic or coordinator immediately of any no‑show patients.
- Undertake any other duties reasonably within the nature and grade of the post, subject to training and agreement on significant permanent changes.
Requirements and Skills
- Previous experience in a patient transport control environment.
- Minimum education at GCSE level or equivalent.
- Knowledge of Cleric logistics system.
- Experience with PTS and other NHS environments.
- Customer‑service experience and strong communication skills.
- Ability to prioritise workload and work well with a wide range of stakeholders.
- Well‑organised, flexible, and responsive with a positive approach.
- Experience working in highly pressured, time‑critical environments while remaining calm and effective.
- Good geographical knowledge of Surrey and South West London.
- Motivated, logical thinker who is innovative, caring, and able to adapt to dynamic changes.
