Responsibilities
- Provide excellent audio typing, secretarial and admin services to the Practice
- Work effectively both independently and as a team member
- Manage microsuction clinics and claims
- Ensure medical records are filed in line with Information Governance procedures
- Use the digital dictation system to type confidential referral letters from clinicians to hospitals and other agencies
- Ensure accurate work is completed within the time limits and standards set
- Upload referral letters to various platforms (e‑referrals), send referrals via email and manage e‑referral work lists daily
- Maintain a log of referral letters
- Type other general patient‑based letters and surgery documents as required
- Resolve or signpost queries from patients, carers, internal departments and external agencies as appropriate
- Process patient referrals, timely input, update, maintain information and resolve queries on the patient record
- Liaise with the Medical Examiner, Coroner and associated administration
- Provide typing and other administrative support to the Practice Manager/Assistant Practice Manager
- Set up referral templates within the clinical database and maintain and update standard letters and forms used in the Surgery
- Liaise with hospitals and other agencies about referrals and appointments
- Prepare medical insurance reports/medical records following the Practice Protocol agreed by the GP Partners
- Deal with patient queries over the telephone and in person
- Perform other secretarial/admin support as required
Qualifications
- Experience of secretarial work in General Practice/NHS is desirable
- Strong typing skills and MS Office skills are essential
- Good clear and confident communicator
- Strong audio typing skills
- Computer literate – working knowledge of Microsoft Office
- Ability to work as a member of a team
- Ability to work under pressure and to prioritise the workload
- About the Practice
Our Practice Team consists of 5 GP Partners, 2 Advanced Nurse Practitioners, Practice Nurses & HCAs, Reception/Admin teams and Management team.
We use the Systm One clinical system and are a well‑established Training Practice for GP Registrars and a recognised Teaching Practice for medical students from the University of Nottingham.
We are part of Ashfield North PCN and work collaboratively across our Network area.
Our Primary Care Network team consists of Pharmacists, Physiotherapists, Mental Health Practitioners and a Pharmacy Technician, plus access to Social Prescribing Team.
As well as providing General Practice services to our practice population of 12,000, we also run the Mid‑Notts Community Microsuction Clinic.
Our premises are modern, and purpose built with onsite parking.
