An exciting opportunity has arisen for the role of Practice Manager at the Woodcock Road Surgery, a long-established friendly surgery located in the centre of Norwich providing primary care services to approximately 8,500 patients. We use SystmOne for our clinical system and various digital platforms such as Accurx and our online triage system to support our processes.
Our team includes:
- 4 GP Partners
- 1 salaried GP
- 2 nurses (specialities: Sexual Health, Diabetes)
- a health care assistant
- a phlebotomist
- a clinical pharmacist
- a physician assistant
The administration team is well organised and supported by an Operations Manager, Office Manager, and care coordinators.
Responsibilities:
- Contract Management: Manage all practice contracts with support from Contracts Manager, PCN, QOF, Public Health, Local Enhanced Services. Negotiate reviews of current contracts and new contracts.
- Finance: In collaboration with accountants and partners, oversee all financial processes of the practice. Manage budgets, petty cash, payroll, payments, receipts, and PCN income and expenditure. Ensure financial and contractual scrutiny on all transactions and activities. Explore opportunities to maximise income and reduce expenditure in collaboration with partners.
- Strategy & Planning: Support partners in developing and reviewing annual strategy and plans. Provide detailed information for these discussions.
- People Development and Management: Ensure all staff have active development plans with effective appraisals and supervision. Recruit, retain and manage staff, including supervision of Operations Manager, Office Manager, and care coordinators. Ensure staff have required training to perform their roles effectively. Develop effective appraisal and disciplinary or grievance procedures.
- External Partner Liaison: Liaise with East PCN, Norfolk and Suffolk ICB, Local Practice Managers Forum. Serve as primary point of contact for NHS(E), ICB, PCN, and other external organisations.
- Operational Oversight: Maintain efficient daily operations with monitoring tools for IT, buildings, suppliers, and online systems. Responsible for IT systems such as TeamNet and MS Teams; develop and enhance use.
- Marketing and Communications: Develop, implement and embed internal and external marketing and communications strategy, including digital communications and website.
- Governance: Ensure effective clinical and non-clinical governance (CQC, infection control, audits, legal). Sustain compliance with NHS contractual obligations.
- Project Management: Lead and coordinate all practice projects (PCN development, business continuity, staff reviews, risk assessments). Run searches and interpret data analysis as required.
Qualifications:
- Good standard of education with excellent literacy and numeracy skills.
- At least 3 years experience of leadership in primary care.
- Experience overseeing financial procedures including budget and cash flow forecasting.
- Experience working in a primary care setting.
- Experience of performance management, including appraisal writing, staff development, and disciplinary procedures.
- Experience of successfully developing and implementing projects in a business or charity.
- Experience chairing meetings, producing agendas, and minutes.
