Responsibilities
- Support the Medical Secretary Team Leader in delivering comprehensive administrative service to the specialty team.
- Manage inpatient waiting list for a specialty in accordance with the Patient Access Policy.
- Communicate appointment and admission related information to patients and carers.
- Type correspondence and transcribe or type up minutes as appropriate.
- Take direction from the Medical Secretary Team Leader and Operational Services Manager for day‑to‑day running of the service.
- Handle delegated work, manage time, prioritise own workload and ensure clinical letters are accurately typed in chronological or clinical priority.
- Work well under pressure and maintain concentration in a busy work environment.
- Sort and distribute incoming and outgoing information in a timely manner and ensure patient notes are requested and provided promptly.
- Liaise with the medical team and appointments department to arrange, cancel or alter clinical commitments, contributing to smooth departmental operation.
- Communicate information, both written and verbal, with patients, staff and carers requiring tact and diplomacy.
- Handle telephone and other communications with sensitivity and confidentiality, using personal judgement to assess each situation and respond appropriately.
- Support inpatient waiting list management while applying national RTT rules and assisting in appropriate utilisation of theatres.
Qualifications and Skills
- Previous experience in an administrative or medical secretarial role.
- Strong organisational and prioritisation skills.
- Ability to work independently or as part of a team.
- Excellent communication skills, both written and verbal.
- Initiative and problem‑solving ability.
