PA/Medical Secretary – Oncology Department (Networked Services Division)
Part‑time permanent positions: 30 hour per week or 25 hour per week, Monday to Friday, hybrid working option.
Responsibilities
- Provide full secretarial and administrative support to the Medical Oncology Germ Cell and Breast teams.
- Liaise with consultants, clinicians and staff at all levels to coordinate patient care, including triage of referrals, scheduling appointments and arranging clinical investigations.
- Manage and dispatch mail and correspondence, keeping confidential documents secure.
- Type clinical correspondence, treatment summaries and annotations, meeting turnaround time targets.
- Maintain an up‑to‑date diary of appointments, meetings and interviews.
- Monitor clinic templates and workload, escalating to management when needed.
- Handle written and verbal enquiries from patients, relatives and external departments, including emotionally charged telephone calls.
- Input accurate patient data into Careflow and other information systems; ensure case notes and investigation materials are updated and available for multidisciplinary meetings.
- Coordinate annual leave, patient waiting lists and support new staff training.
- Contribute to quality improvement initiatives and keep risk management procedures up to date.
Qualifications
- 5 GCSEs grade C or above (Maths and English) or equivalent.
- RSA Stage II or III AMSPAR Diploma (or equivalent).
- Previous secretarial or administrative experience, preferably in oncology or a healthcare setting.
- Audio and copy typing skills.
- Proficiency with Microsoft Office Suite (Excel, Word, Teams).
- Sound knowledge of medical terminology and experience with patient management systems.
- Excellent communication, organisational and interpersonal skills.
- Ability to work independently, manage priorities under pressure and use initiative.
- Reliable, flexible and willing to attend relevant training.
