The role is for an experienced Receptionist/Administrative Assistant to provide reception and administrative support to the multidisciplinary team at Fell Cottage Surgery.

Key Responsibilities

  • Maintain and monitor the practice appointment system
  • Process personal, telephone and electronic requests for appointments
  • Answer incoming phone calls, transfer calls or deal with callers’ requests appropriately
  • Greet all patients and visitors and signpost them to the correct service
  • Process incoming and outgoing mail
  • Respond to requests from patients, team members and external agencies
  • Process referrals to external agencies using the electronic referral system (ERS)
  • Handle prescription requests received in person, via telephone or electronically
  • Carry out GP2GP tasks, read code data on EMIS Web and store records as required
  • Photocopy and scan patient documentation and attach scanned documents to patients’ healthcare records
  • Data entry of new and temporary registrations and relevant patient information
  • Process requests for information such as SAR, insurance/solicitors letters and DVLA forms
  • Manage administrative queries efficiently
  • Carry out system searches as requested
  • Maintain a clean, tidy, effective working area and reception area including notice boards
  • Support clinical staff with general tasks as needed
  • Secondary Responsibilities
  • Participate in audit as directed by the audit lead
  • Produce meeting agendas and record minutes of meetings
  • Provide cover for senior team members during absences
  • Complete opening and closing procedures in accordance with the duty rota
  • Support management of repeat prescriptions ensuring accuracy and efficiency
  • Order and monitor stationery supplies

  • Experience in a healthcare or administrative setting
  • Proficient in Microsoft Office applications
  • Effective time‑management skills and ability to work autonomously or as part of a team
  • Excellent written and verbal communication skills, polite telephone manner
  • Strong IT skills and knowledge of EMIS Web/ERS systems preferred
  • GCSE level or equivalent, with GCSE Mathematics and English at least C (or higher qualifications such as NVQ Level 2 in Health and Social Care)
  • Polite, confident, flexible, cooperative, caring, supportive and empathetic, especially in distressing situations
