Part‑time receptionist/administrator, 20 hours per week. Working Monday 1‑6.30 pm, Wednesday 2‑6.30 pm and Thursday 8‑6.30 pm. Must be flexible to cover sickness and annual leave.
Responsibilities
- Ensure smooth running of the reception area, dealing with patients face‑to‑face and on the telephone and booking appointments.
- Provide support to the Practice team and liaise with all members of the team.
- Deal with enquiries and queries from patients and other organisations.
- Process patient prescriptions manually and electronically.
- Process emails in the admin inbox.
- Distribute internal and external post.
- Scan hospital letters and any other relevant documents.
- Code hospital letters.
- Deal with subject access requests.
- Type letters and other documentation.
- File medical records.
- Use clinical systems for patient communication.
- Process patient registrations, including temporary registration forms, ensuring they are completed before acceptance.
- Take ownership of the opening and closing process of the practice, ensuring security systems are in place and activated.
- Provide a high quality front‑line reception service to patients and visitors.
- Deal with queries from patients, pharmacies, hospitals and other external parties.
- Monitor reception and waiting room areas, ensuring they are clean and tidy.
- Accept samples from patients, ensuring they are labelled adequately.
- Adhere to practice policies, including Health & Safety.
- Test the fire alarm system weekly.
- Act as a chaperone for clinicians if requested.
- Carry out any other duties requested by the Practice Manager or GP partners.
Qualifications & Requirements
- Previous GP reception experience.
- Experience using SystmOne.
- Excellent verbal and written communication skills.
- Proficiency in Microsoft Office, including Outlook, Word and Excel.
- Experience working in a multi‑disciplinary team.
- GCSE grades 4–9 (A–C) in Maths and English.
- Medical Terminology qualification/training.
