Although this post has been advertised as a fixed‑term appointment, NHS staff will be offered the role as a secondment.

Role Overview

Public Health Wales is looking for a motivated and organised People & OD Assistant to join the People Support team.

This role provides high‑quality administrative support across a wide range of People & OD services, ensuring an efficient, professional, and people‑centred experience for staff and managers.

Key Responsibilities

  • Act as first point of contact for routine People & OD queries.
  • Support colleagues with recruitment administration, ESR updates, training compliance, intranet content, meeting coordination and general workforce processes.
  • Prepare letters, reports and documentation; maintain accurate records and assist with system updates.
  • Respond to and resolve first‑line queries.
  • Prepare standard letters and contracts.
  • Assist with recruitment process, database administration and maintaining employee records.
  • Process requisitions and orders.
  • Arrange meetings.
  • Office Attendance

Work is based on a remote arrangement but requires presence 1 day per week in the Cardiff office (subject to change).

Additional attendance may be required for key meetings, training, events or to support service delivery, and applicants must be able to meet this requirement.

Qualifications and Skills

  • NVQ Level 3 or equivalent.
  • Good general education to GCSE level or equivalent, including English and Maths.
  • Proficient in Microsoft Office (Word, Excel, Teams, Outlook).
  • Experience with NHS systems such as Action Point, ESR, Share Point and Trac.
  • Experience in an HR and/or learning and development administrative role.
  • Experience with financial systems (e. g., requisitions, budget monitoring).
  • Strong organisational skills and ability to manage multiple tasks and priorities.
  • Excellent written and verbal communication skills.
  • Ability to handle sensitive information appropriately and maintain confidentiality.
  • Strong organisational skills with sound judgement for escalation of issues.
  • Minute‑taking and transcription skills.
