Job Overview
Receptionist and administrative support role across multiple NHS sites including North Tees, Hartlepool, One Life and Peterlee Hospitals and the Tees Valley Community Diagnostic Centre. The role involves reception duties, booking appointments, general office tasks and support for clinical and ward activities.
Key Responsibilities
- Manage reception duties: greeting and directing visitors, handling enquiries via phone, letter, and face‑to‑face.
- Book appointments and maintain accurate booking records.
- Support clinical administrative departments and ward/clinic areas according to service needs.
- Maintain and update patient information in Trust and departmental systems; ensure data accuracy and confidentiality.
- Assist with transcription of clinic letters, reports and other correspondence.
- Organise referral, transport and review arrangements for patients.
- Maintain clean, orderly working environment and manage routine clerical duties such as post distribution, filing, and photocopying.
- Participate in on‑call rota for administrative support during major incidents.
- Adhere to all Trust policies, procedures, information governance, RMS, and CQC requirements.
- Contribute to infection prevention and control, hand hygiene and other Trust-held protocols.
- Provide flexible and efficient support across several work areas, meeting tight deadlines while maintaining a calm and professional conduct.
Key Qualifications & Experience
- Minimum educational background of GCSE (grade C or above) in English Language and Mathematics or equivalent; additional qualifications in ICT, business administration or medical administration preferred.
- Demonstrated experience with clerical work in a people‑focused environment.
- Experience using computerised systems within a healthcare setting and proficiency with Microsoft Office (Word and Outlook).
- Excellent verbal and written communication skills, with the ability to establish effective partnerships with multidisciplinary teams.
- Strong attention to detail, reliable data entry, and ability to self‑check completed work.
- Organisational and time‑management skills, able to work independently and meet deadlines under pressure.
- Knowledge of medical terminology, data protection and confidentiality principles.
- Willingness to rotate across sites and work flexible shift patterns, including extended hours and on‑call duties.
- Successful DBS Criminal Records Disclosure Check (Standard Level).
