We are seeking a Procurement Admin Assistant to support core operational activities across our procurement systems, ensuring data accuracy, compliance and timely processing of key information. The role will also support financial control activities, including investigating historical payment discrepancies and supporting recovery of funds.
Key Responsibilities
- Set up new vendors in Ariba, ensuring all required information is completed accurately and in line with internal controls.
- Upload and manage contracts within Icertis, ensuring proper documentation, governance, and compliance with internal procedures.
- Load and maintain sourcing initiatives within SpendHQ, ensuring accuracy and consistency of data.
- Investigate historical hotel payment variances, identifying root causes and reconciling discrepancies.
- Liaise directly with hotels/suppliers to challenge discrepancies and support recovery (recoup) of overpayments.
- Perform quality checks across all systems to ensure data accuracy and completeness.
- Support the procurement team with general administrative tasks related to supplier onboarding and contract management.
- Work closely with internal stakeholders to resolve data issues and ensure smooth system processes.
Key Requirements
- Previous experience in an administrative or procurement support role is highly desirable.
- Experience with financial reconciliation, payment queries, or supplier dispute resolution is desirable.
- Familiarity with procurement systems (e.g. Ariba, Icertis, SpendHQ) is desirable.
- Strong attention to detail and high degree of accuracy.
- Confident working with data and investigating discrepancies.
- Ability to manage multiple tasks and priorities in a fast-paced environment.
- Good stakeholder engagement and communication skills.
