Line management responsibility: 7 Regional Operations Coordinators & Site Operations Admin

About the job: To lead and develop a central support function within Sites & Accommodation, supporting key compliance areas relating to project work and site operations. The role oversees a team of eight direct reports (seven Regional Operations Coordinators (ROCs) and one Site Operations Administrator), ensuring the delivery of seamless administrative support and effective communication across the UK Sites Network, Regional Managers, and Head Office teams. Responsible for overseeing the team's workload, ensuring all relevant documentation is compliant to the agreed standard, with the expectation of developing expertise in all compliance areas, while mentoring and upskilling the ROCs to handle the administrative areas of technical projects.

Key tasks and responsibilities

  • To lead, motivate, and coach the Site Operations team supporting the Regional Managers and to ensure the delivery of a premium experience for over one million members.
  • Manage, evaluate tasks and delegate where appropriate, whilst maintaining a consistent quality across all the team, fostering an environment of continuous upskilling initiatives to ensure documentation, processes, and training materials remain current, relevant, and high quality.
  • To continuously evaluate internal process efficiency to identify gaps and develop administrative policies that enhance the efficiency of the Sites Network.
  • Develop and deliver a training strategy to upskill ROCs in technical compliance documentation, enabling them to independently handle administrative validation of contractor paperwork.
  • To conduct regular 1:1s and formal appraisals to manage team performance, behaviour, attendance in alignment, holiday in line with Club strategy.
  • To manage team scheduling including leave and sickness cover.
  • Act as the Site Operations lead for the administrative management of all commercial and technical project paperwork, ensuring compliance documentation meets legal and internal standards before work commences.
  • Review compliance and safety documentation submitted by contractors to ensure they meet Club Standards before project commencement.
  • To collaborate with Procurement to resolve any supplier inefficiencies, reduce and manage associated costs.
  • To work closely with Regional Managers to support site projects and use influence to encourage adherence to established rules.
  • To act as the operational voice for new project roll-outs in stakeholder meetings and deputise for the Site Operations Manager when required.
  • To provide essential support for external events, which may include overnight stays and ensuring office practices are resourced during the Annual New ASM Induction Event.

Essential skills & Experience Required

  • Proven experience leading and developing high-performing hybrid teams, with a strong focus on coaching and performance management.
  • Ability to quickly learn, retain, and implement evolving systems, processes, and workflows.
  • Confident in providing constructive feedback and driving accountability.
  • Confident using technology, IT and relevant booking systems.
  • Exceptional interpersonal skills with the ability to influence at all levels.
  • Highly organised, with strong prioritisation skills and experience managing complex workloads and calendars.
  • Demonstrates adaptability and sound judgement in fast-paced environments, ensuring deadlines are met without compromising quality.
  • Prepared to take on relevant training in Health and Safety, Construction compliance and other relevant areas.
