Background and purpose of the role: The Talent Acquisition and Business Development Team Coordinator will play a key role in supporting Capula's global hiring efforts by providing end-to-end coordination for front office recruitment processes. The role partners closely with internal and external recruiters, hiring managers and candidates to deliver a seamless and professional recruiting experience. The Team Coordinator will help to ensure the candidate interview and onboarding processes are run efficiently and to a high standard. This is a dynamic role with high visibility across the business and offers an excellent entry point into the Talent and HR function at Capula. The Team Coordinator will own the candidate management process, drive hiring logistics, and build relationships with internal stakeholders across the firm's investment and infrastructure teams globally. This position will also provide exposure to broader talent initiatives and the potential to develop further within the Talent group/global HR team over time.

Duties and responsibilities:

  • Schedule and coordinate interviews (onsite, remote, multi-stage) across global offices and time zones, ensuring a seamless candidate experience.
  • Own and manage logistics for in-person interview assessments, including preparing materials, booking rooms, and liaising with IT where necessary.
  • Maintain and update candidate records and interview feedback in internal tracking systems and recruitment tools.
  • Support the drafting and posting of job descriptions and role briefs in alignment with internal templates and team requirements.
  • Act as a point of contact for candidates throughout the interview lifecycle, providing timely updates and logistical support.
  • Manage recruiter inboxes and candidate pipelines to ensure high responsiveness and organisation.
  • Liaise with recruitment agencies to support scheduling and logistics.
  • Collaborate closely with the Talent and Business Development teams on search mapping projects, market research, and process improvements.
  • Support ad hoc team administration including team meeting agendas, project tracking, and reporting.
  • Ad hoc projects and requests to support the Talent and Business Development teams.

Requirements:

  • 1-3 years' experience in a coordination, recruitment, or HR support role - ideally within financial services, executive search, or a fast-paced professional environment.
  • Experience working across multiple time zones and juggling competing priorities.
  • Strong organisational and time management skills with a meticulous attention to detail.
  • Excellent written and verbal communication skills.
  • Comfortable handling confidential information with discretion.
  • Proficiency with Microsoft Office (especially Outlook, Word, Excel, PowerPoint).
  • Calm, proactive and solutions-oriented mindset, even under pressure.
  • Strong team player with a flexible, can-do attitude.
  • Familiarity with applicant tracking systems and scheduling tools (e.g., Greenhouse, Workable, or similar) is a plus.
