Capula is seeking a highly organised and proactive Personal Assistant to join our team in London. This role will primarily support a team of traders and one of our Partners, as well as provide broader administrative support to senior managers on the trading floor. The successful candidate must be a native Japanese speaker with strong English communication skills and have experience supporting senior professionals in a dynamic, fast-paced environment.
Key Responsibilities
- Provide dedicated support to a team of traders and a Partner, as well as general support to other senior managers.
- Manage extensive and complex diaries, ensuring effective coordination of schedules.
- Organise travel, accommodation, visas, and detailed itineraries; make adjustments as necessary and liaise with other departments or PAs.
- Process expenses accurately and in a timely manner.
- Coordinate and schedule internal and external meetings, including room bookings and catering.
- Organise attendance at corporate events, including lunches, dinners, and social functions.
- Collate and produce meeting materials and management information packs (e.g., PowerPoint decks) as required.
- Maintain discretion and confidentiality at all times.
- Provide cover for other Assistants and administrative team members during absences.
- Answer incoming calls as part of the administration team, taking and relaying messages as appropriate.
- May be required to act as a floating assistant across various trading teams or provide occasional support on UK bank holidays (ad hoc).
- Note that in addition, the employee will conduct other duties as required and in line with business needs.
Requirements
Education and Qualifications
- Bachelors degree is highly desirable.
Experience
- Previous experience providing high-level administrative or personal assistance in a professional services or financial environment is essential.
Skills
- Native Japanese speaker with strong English communication skills (verbal and written).
- Exceptional organisational and multitasking abilities with strong attention to detail.
- Proficient in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint).
