The EA will be responsible for managing complex diaries, coordinating investor meetings, preparing briefing materials, handling confidential information, and providing day-to-day administrative support. This role offers the opportunity to work in the IR team and gain exposure to senior stakeholders, both internally and externally. This role is pivotal in ensuring the smooth running of the IR function and requires someone with excellent communication skills, attention to detail, and the ability to manage multiple priorities in a fast-paced environment.
To provide an exemplary service to the IR team in all aspects of administration, diary management and co-ordination.
- EA support to Co-Head of Investor Relations
- Organise multi-destination travel, including visas, itineraries, transfers, accommodation, co-ordination with other offices, etc.
- Extensive diary management for both client and senior internal meetings.
- Ambassador to clients, counterparties, third parties.
- Ensure that invoicing/expenses are managed appropriately and on time for the team.
- Provide cover for senior executives during absence of other administrative team members.
- Serve as the primary point of contact for clients, responding promptly to enquiries. This includes dealing with investor requests (email presentations, DDQs, PPMs, and other documents as required).
- Organise travel and client meetings for other team members (two Product Specialists and two Directors).
- Organise and co-ordinate investor events, conferences and seminars, managing the whole process, such as the Global Investor Summit.
- Maintain and update Investor Relations systems, databases, distribution/contact lists.
- Perform other administrative duties in regards to CIM’s investor relations function including but not limited to investor questionnaires, minutes of the meetings and correspondence with the Fund board of directors.
- Co-ordinate conference attendance for the team ensuring registration is completed and prepare any necessary materials.
- Have a strong knowledge of the CRM System and functions.
- Work with other departments to provide regular reports and updates.
- Process expenses.
- Maintain tracking spreadsheets for investor activity.
- Manage additional inbox.
- Manage process for annual investor gifts.
Strong communication skills both written and verbal. Note that in addition to these duties employees are required to carry out such other duties as may be reasonably required.
Requirements
- University degree is preferable.
- Candidates ideally would have experience working within investor relations in financial services.
- Preferred candidates would have experience working with our CRM (Folio Metrics), or equivalent.
- Extensive experience of arranging travel, travel documentation including visas for a variety of locations, and liaising with external travel companies as required.
