Capula are looking for a personal assistant to join our team in London. This role will primarily be responsible for supporting a variety of senior managers on the trading floor, on all relevant matters. The role will also be responsible for covering other Assistants when they are out of office, and any teams that they support.
Duties:
- Organise travel, accommodation and itineraries; change schedules as required; co-ordinate with other PAs or departments as necessary; and arrange any necessary visas
- Extensive and complex diary management
- Processing of expenses
- Co-ordinate internal meetings relating to any specific projects as directed
- Organise lunches, dinners and attendance at any corporate events
- Complete meeting room bookings, including any catering requirements
- Arrange any recruitment related meetings in conjunction with HR
- Collation and production of meeting materials as required
- Maintain confidentiality as appropriate
- Provide support for other senior executives in the business during times of absence of other admin team members
- Help organize and edit management information packs in Powerpoint on a monthly basis
- Work as part of the administration team to answer in-coming calls and take/relay messages as appropriate
This role requires being in the office full time, five (5) days per week. Note that in addition, the employee will conduct other duties as required and in line with business needs.
Requirements
Education and Qualifications: Bachelors degree is highly desirable
Experience: Prior experience providing administrative assistance at a senior level within a professional services environment
Skills:
- Exemplary communication skills - both written and verbal
- Understand the need for discretion and uphold confidentiality at all times
- Able to work in a team as well as independently
- Proactive and able to take ownership of projects
- Excellent knowledge of Microsoft office suite
