The Department
The Learning Operations Department manages the resources for learners during their journeys with Captiva Learning Ltd. The department is responsible for ensuring that the marking of Level 7 Senior Leader Apprenticeship submissions are completed and recorded in due time whilst ensuring that all compliance and administrative tasks are aligned to our partnership agreement with our University Partnetships. Learning Operations’ also oversee the implementation and the day-to-day management of Captiva’s Virtual Learning Environment (VLE) as well as providing technical and administrative support to learners and Captiva’s Delivery Team.
Key Responsibilities:
- Zoom: Create and distribute zoom links for Live Learning days and workshops, as well as uploading zoom links into the Canvas (VLE) Calendar
- Organise and manage break out rooms alongside the Learning Operations Manager (LOM)
- Provide trouble shooting support to learners and team members during live learning events
- Update the Canvas (VLE) Calendar with learning event details and assignment deadlines in accordance with the Delivery Calendar
- Provide support to the LOM to create new canvas pages, assignment portals and to upload learning content
- Add new learner accounts to Canvas (VLE) and send ‘Getting Started’ instructions to learners before First Days of Learning (FDLs)
- Monitor, action and file the emails arriving into the Learning Operations inbox
- Support learners and team members with new requested Canvas (VLE) log in details
- Respond to (and action) queries relating to learner certificates, graduation dates and change of addresses or surnames.
- Reporting Support: Collaborate with the LOM and the Delivery Team Managers (DTMs) to provide expected learner submission lists ahead of up-and-coming submission dates
- Track submissions, non-submissions, late submissions made during marking windows using Canvas (VLE) and updating the Marking Allocations spreadsheet
- Collation of cohort final grades/awards with mail merge communications sent to learners when Senior Leader Apprenticeships conclude
- Scheduling: Support the LOM to plan live learning events, assignment submission dates and grade releases in accordance to the Captiva Delivery Calendar
- Attend meetings with University Partners alongside the LOM to collaborate on the shared Calendars and Administrative tasks.
- Collaborate with the LOM and DTMs to update Canvas (VLE) content with calendar updates ahead of Live Learning Events or course updates
- Learning Resources: Ensure that Learning Resources are uploaded and organised within Captiva’s IP library and Captiva SharePoint
- Edit First Day of Learning videos using Cyberlink Power Director and upload into Canvas (VLE)
- Upload Learning PowerPoints, Delivery Schedules, Assignment Briefs and Assignment Coversheets into Canvas (VLE)
- Learner status: Update the Learning Resources Student Mastersheet with learner status updates in conjunction with the DTMs Student Tracker
- Support the LOM to monitor and track Mitigating Circumstances requests
- Work in conjunction with the LOM, DTMs and MIS Department to ensure that the Student Master sheet, Marking Allocations lists and Canvas learner lists reflect learner status updates
- University Partnerships Registrations and Compliance: Send registration lists to Captiva’s University Partners ahead of new cohort entry points
- Support LOM and the Assessment Team with administrative duties leading up to Exam Boards then Awards and Progression Boards
- Create and upload completed Moderation Sheets into the Shared Captiva/Roehampton SharePoint
- Withdrawals and BILs: Update the Student Master sheet and the Marking Allocations spreadsheet with learner withdrawals and BILs after receiving updates from the MIS Department
- Ensure that learner withdrawals are deleted from the Canvas (VLE) platform
- Ensure that learner BILs are suspended from the Canvas (VLE) platform and reinstated upon a return to learning
