Overview
We are recruiting on behalf of a historic private estate in Central London for a Residential Property Administrator to join their established Property Management team. This is an excellent opportunity to work within a prestigious estate environment, supporting the Head of Residential and Property Managers with the day-to-day administration of a high-quality residential portfolio.
Key Responsibilities
- Provide day-to-day administrative support to the Residential Property Management team
- Manage correspondence, filing systems, coordination tasks, and general research
- Act as a key point of contact for tenants and lessees, handling enquiries efficiently and professionally
- Draft letters, emails, and make calls regarding lease matters, rent arrears, and maintenance
- Process and manage maintenance work orders from tenants, property managers, and site visits
- Prepare and update tenancy documentation (digital and hard copy)
- Assist with website updates, including uploading available property details
- Liaise with contractors and manage key issuance, ensuring accurate logging and returns
- Support tenant move-in and move-out processes, including: Welcome packs, Inspection letters, Lease expiry notifications, Renewal and vacation correspondence, Deposit return documentation, Utility change of occupier notifications
- Maintain accurate logs, activity sheets, and internal records
- Attend site visits where required to support property management duties
- Register tenant deposits with the appropriate schemes
- Monitor and manage Right to Rent documentation and expiry checks
- Manage furniture inventory and arrange orders when required
- Process invoices within authorised limits
- Maintain accurate records on the property management system
- Provide cover for Accounts Administration when required
- Assist with report and budget preparation, meeting coordination, and general administration
- Support wider teams and provide reception/admin cover when needed
Person Specification
- Previous experience in an administrative or secretarial role (property experience advantageous)
- Excellent customer service skills
- Proficient in Microsoft Office (Word, Excel, Outlook)
- Strong organisational skills with the ability to multitask and meet deadlines
- High attention to detail
- Strong written and verbal communication skills
- Proactive, flexible, and able to work independently
- A team player with a collaborative approach
- Fast learner with a positive attitude
- Good typing skills
- Experience with property management systems (e.g. Qube) desirable
