Project Coordinator / Site Administrator
Chelmsford, Essex | £40,000–£45,000
18-month fixed-term contract | Full-time, five days on site
We’re recruiting a Project Coordinator / Site Administrator to support the final delivery phase of a high-end residential development in Chelmsford.
Working within a small project team, you’ll provide administrative, document control and operational support through construction, completion and purchaser handover. There is potential for the contract to extend.
Key responsibilities
- Coordinate meetings, take minutes, track actions and maintain project records.
- Manage document registers, information-sharing platforms and requests for information between site and designers.
- Maintain Building Control and warranty trackers, chasing inspections, reports, certificates and outstanding historic records.
- Arrange consultant surveys and inspections, issue agreed instructions and track delivery.
- Support the QS and accounts team with invoices, monthly valuations, procurement enquiries and financial records.
- Coordinate site supplies, equipment, IT support, inductions and RAMS submissions for site approval.
- Assist with programme reporting, planning condition information, utilities applications and compliance tracking.
- Maintain snagging and defect records, compile O&M manuals and prepare purchaser handover packs.
- Liaise with sales and customer care teams to support legal completions and aftercare.
About you
You’ll have previous experience in construction, housebuilding or property development administration, with strong organisational skills and close attention to detail. You should be confident chasing information, managing competing priorities and working independently within a busy site team.
Microsoft Office skills are essential. Experience with document management systems such as Dochosting and OneDrive would be useful. A CSCS card is required, with support available to obtain one.
Working arrangements
Immediate start preferred. This is a fully site-based position, working from Portakabin-style site accommodation. Candidates based in Chelmsford or the wider Essex area would be well placed.
