To enable our advisers to focus their time on seeing clients, we have invested in developing a brilliant operations team. We are currently seeking to appoint a Receptionist / Client Administrator to join our fantastic operations team based in Altrincham.
To support the adviser team and the wider operation, ensuring that new business cases are processed effectively; whilst maintaining a timely turnaround and high level of accuracy. This role is instrumental to ensuring that cases are moving through the end to end process smoothly with no delays.
Working as part of our client servicing team, the key responsibilities of this role are:
- Reception duties; answering the telephone, transferring calls, taking messages as appropriate
- Managing the booking process for the meeting rooms and ensuring that rooms are set up as required
- Using our back-office system to run reports to show clients that are due to have a financial review
- Providing reports to our adviser team in order to identify which clients require booking in the diary
- Making calls to clients to make them aware that their financial review is due, with the aim of booking the client in for a meeting with their adviser (either face to face with client or an online meeting)
- Diary management for the advisers
- Logging call and email activity in our back-office system and using a task system to keep track of follow up calls to clients / chaser calls
- Where unable to contact client, producing client letters, logging in our back-office system and following up as appropriate (following the company’s process for none engaged clients)
- Preparing packs for client review meetings
- Running weekly reports for client birthdays, sending e-cards by email and arranging gifts where required
- General administrative tasks including ensuring that stationary levels and cleaning materials are fully stocked
- Deliver exceptional customer service both in person and over the phone
Skills:
- Proficient in Microsoft packages (Outlook, Word, Excel, Teams)
- Fast and accurate data input skills
- Strong organisational skills and able to manage multiple tasks efficiently

About you:
You will have exceptional telephone skills and be confident speaking to clients with a view to booking appointments. You will be focused on providing an excellent service to our adviser team and clients, be super organised and efficient.
Hours of work are Monday to Friday 9am to 5pm although there is some flexibility with the start and finish times. We offer 25 days holiday plus an additional day off for your birthday, life insurance, pension scheme and some flexibility to work from home following successful completion of the probationary period.
