Capstone Financial is seeking a professional and personable Receptionist / Client Servicing Administrator to join our Operations Team in Altrincham. This is a key role within the business, supporting both our advisers and clients. You will be responsible for ensuring client reviews are scheduled and processed efficiently, maintaining a high level of accuracy and delivering an exceptional client experience at every touchpoint.
Key Responsibilities
- Acting as the first point of contact for clients, managing reception duties including answering and directing calls
- Coordinating meeting room bookings and ensuring rooms are prepared to a high standard
- Running reports via our back-office system to identify clients due for financial reviews
- Supporting advisers by providing reports and booking client review meetings
- Contacting clients to arrange review meetings (face-to-face or virtual)
- Managing adviser diaries effectively
- Logging all client interactions and maintaining accurate records within the system
- Following up with clients where contact has not been successful, including written communication in line with company processes
- Preparing client review packs for meetings
- Managing client engagement activities, including birthday communications and gifts
- Maintaining a professional and welcoming office environment
- Supporting general administrative tasks, including stock management of office supplies
- Delivering exceptional customer service both in person and over the phone
