Our venue Receptionist is the first and last point of contact for all visitors and staff. The role involves greeting visitors, managing daily appointments, ensuring security, handling administrative tasks, maintaining systems, and supporting claimants and staff.

Responsibilities

  • Meet and greet visitors in a warm and friendly manner.
  • Manage daily appointments using CRM/PRS and reschedule as required.
  • Open and lock the venue and ensure security procedures are followed.
  • Identify and validate all attendees and direct claimants to the appropriate location.
  • Perform day‑to‑day administrative duties including data entry and maintenance of CRM/PRS systems.
  • Create, complete and upload documents to the Health & Safety system CASPER.
  • Maintain office supplies inventory and order stationary as needed.
  • Ensure the venue is kept to a professional standard.
  • Provide directions to claimants and their families over the telephone.
  • Contribute to the strategic management and development of the business.

Qualifications

  • Experience as a receptionist and customer service (customer facing).
  • Good planning and organisational skills.
  • IT literate – MS Teams, Word, Outlook and CRM systems.
  • Experience of conflict resolution and de‑escalation techniques in a face‑to‑face environment.
  • Excellent verbal and written communication skills.
  • Friendly disposition and customer service ethos.
  • Ability to attend all training and development courses.
  • Attentive, polite and approachable at all times.
  • Excellent time management skills and punctuality.
  • Able to work without supervision and be a good listener.
