We are looking for a Business Operations Officer to join Capita Pensions Solutions and play a central role in maintaining and improving key operational processes across the Pensions Consulting business. The role is responsible for the day‑to‑day ownership, monitoring, and continual enhancement of core operational systems, including the Job Onboarding System and KeyedIn (timesheeting and resource management). While this role does not own the technical/IT configuration of these platforms, it is accountable for ensuring correct usage, engaging with users across all teams, and driving operational consistency, quality, and efficiency. This is a hands-on, process-focused role suited to someone who enjoys structure, problem solving, and working collaboratively with operational teams to embed best practice.
Key Accountabilities
- System & Process Ownership: Own and maintain key operational processes within the Operations Governance area. Lead the operational management of the Job Onboarding System, ensuring accurate setup, clear workflows, and timely processing. Act as the primary business owner for KeyedIn (timesheeting & resource management) from a usage and process perspective. Ensure systems are used consistently and in line with agreed governance standards.
- User Engagement & Support: Act as the first point of contact for user queries relating to key operational processes and systems. Partner with teams across the business to ensure they understand how to correctly input, maintain, and update information. Provide refresher training, onboarding support for new users, and guidance on best practice usage. Identify knowledge gaps and develop materials (guides, FAQs, quick tips) to help improve user capability.
- Continuous Improvement: Review and refine processes regularly to remove inefficiencies and strengthen control. Collaborate with IT and system owners to raise enhancements, ensure issues are triaged, and support user acceptance testing where required. Track system and process performance, highlighting trends and improvement opportunities. Proactively recommend and implement improvements to support better accuracy, compliance, and operational flow.
- Governance & Compliance: Maintain documentation, process maps, and standard operating procedures for all owned processes. Monitor adherence to governance frameworks and escalate risks or non‑compliance. Support audits, reviews, and reporting activities, providing clear data and insights. Contribute to broader operational governance initiatives as required.
What are we looking for
- Essential: Strong understanding of operational processes and governance principles. Excellent organisational skills with high attention to detail. Confident engaging with users at all levels to provide guidance and resolve queries. Ability to analyse process issues, identify root causes, and recommend improvements. Experience in maintaining or supporting business systems/processes. Strong communication skills, both written and verbal.
- Desirable: Experience with KeyedIn or similar timesheeting/resource management tools. Experience working in a professional services or consulting environment. Ability to create training materials and deliver group or 1:1 training. Basic familiarity with process mapping tools.
