Position Overview: Receptionist – working Monday to Friday on a shift pattern of 08:30‑17:00 or 07:30‑15:30 / 09:00‑17:00. The role is the first and last point of contact for all visitors and staff at Capita HAAS. Approximately 70% of the time is spent greeting people; the remainder involves documentation, appointment scheduling, supplies, facility and safety management and system maintenance.
Key Responsibilities:- Meet and greet visitors in a warm and friendly manner.
- Manage daily appointments using CRM/PRS and re‑schedule as required.
- Open and lock the venue; ensure security procedures are followed.
- Identify and validate all attendees; direct claimants to appropriate areas.
- Maintain and update CRM/PRS systems; create, complete and upload documents to CASPER.
- Keep office supplies inventory up to date.
- Maintain the venue to a professional standard.
- Provide relevant information to claimants and staff, including guidance on local transport.
- Attend training and development courses and contribute to strategic management and business development.
- Experience as a receptionist and customer‑service role in a front‑office environment.
- Strong planning, organisational and time‑management skills.
- IT literacy – MS Teams, Word, Outlook and CRM systems.
- Experience of conflict resolution and de‑escalation techniques.
- Strong communication skills (verbal and written).
- Friendly, polite, approachable and attentive disposition.
- Ability to work independently without supervision.
- £26,227.50 annual salary.
- 25 days holiday (rising to 27) with the option to buy extra leave.
