About the Company
Capi helps businesses in emerging markets pay their international suppliers quickly and efficiently. We have raised over $18m across Seed and Series A (Q4 2024) and are on a fast growth trajectory globally. Capi was founded by Mitch Riley, Scott Liddle, and Tom Watson. Mitch and Scott were COO/CFO/GC and CRO/CMO at Taptap Send, a remittance unicorn, and have spent two decades between them working in emerging markets, and Tom is a career entrepreneur and founder.
Working in emerging markets is opening the door for us to have an economical impact on African markets by allowing businesses to pay suppliers and partners through our platform - we are currently live across Senegal, Ivory Coast, Cameroon, Kenya, Benin, Togo, Congo Brazzaville, and Mali, with many more coming soon. Our team is made up of approx 70 people across 8 countries; we are a group of highly ambitious, get-it-done people, who like to work hard on something that has a tangible impact in the world. Role Overview
As Executive Assistant you will be joining a fast-paced, high-growth team here at Capi; we are all about great talent with no egos - we are all learning here! This role begins as maternity cover for our current team EA who supports our two founders, starting late December. Once she returns, our London team will have nearly doubled in size, and you will be one of two EAs supporting the executive office. You will be responsible for managing complex schedules across time zones, organising travel, coordinating meetings, and handling confidential information with discretion.
You will help build out efficient processes for team travel, as well as supporting connectivity and culture alongside our People Team. We work across 6 different countries (and growing fast); curiosity and new ideas about how we can better stay connected while building a strong international team culture is helpful for all of us! You will help to organise team events, coordinate international visitors (including visas and vaccinations) as well as management and administration of our London office. In this role, you will have the opportunity to streamline operations and enhance productivity of a rapidly growing startup, directly impacting our global mission!
Key Responsibilities & work-streams you will own:
- Manage the diary of our CEO (company co-founder), who travels frequently, including scheduling meetings and arranging the travel (including booking flights, hotels, etc.)
- Draft and manage correspondence and communications, as appropriate (email management)
- Organise team events, helping to uphold and build out our international team culture, including company values
- Process invoices, expense reports, and contracts as necessary
- Support finding new offices and coordinate office moves as necessary as we grow
- Working cross-functionally with team members in London, Paris, Senegal, Côte d'Ivoire, Cameroon, Kenya (and more coming!)
- Handle confidential and sensitive information with discretion and professionalism
30-60 days
In the first 30 days this role will:
- Onboarding and training, deep diving into the role, meeting people, figuring out who is who and understanding how we work and the business
- Take over calendar and diary management for our CEO; learn how he works and our tools and systems in place
- Email management (review and triage)
- Slack deep-dive + scheduling: figuring out the Slack channels that you will be involved in and getting up to speed on what action-items come out of these daily, actioning tasks quickly
- Pick up office management responsibilities such as setting up weekly team lunches, visitor and guest organization and scheduling - being the 'face of Capi' for all new-joiners and visitors
Within 60 days:
- Deep dive into international travel coordination and planning; begin building out processes and efficiencies for this for our CEO and the rest of the London team
- Get stuck in on new tools and what we can use more effectively for time & efficiency management (for leadership team + other managers, or more broadly)
Requirements
- 5+ years of experience as an Executive Assistant in a high-performing environment, ideally in a VC-backed start-up
- Strong verbal and written communication skills in both English and French
- Exceptional organisational skills
- Ability to maintain confidentiality and exercise discretion
- Flexibility to work outside of regular business hours when required
- Experience with G.Suite, Calendly, Notion, Slack strongly preferred
- Experience working in / with emerging markets a bonus
- Language requirements: Professional level French and professional level English
- Location: London
- Bonus points if you have worked across African markets before, particularly regarding travel
Additional Information
This is a full-time position with competitive salary, share options, and benefits. This role requires at least 3 days a week in the office with some flexibility; the office is currently based in the WeWork building at 145 City Road, London, EC1V 1AZ.
