Background of the role

The Timetabling team are responsible for the management, development, and maintenance of the whole university timetable, and are business owners of the timetabling system, Scientia (TechnologyOne). The candidate will work as part of a team within a busy environment to help deliver the full annual academic timetable from data collection to allocating individual student timetables and ongoing maintenance. The team demonstrates a strong technical understanding of our timetabling system and can work effectively with IT, systems/end/service users and process owners. They also collaborate with stakeholders across the university on the timetabling policies and collection of related systems and tools, being responsible for managing and maintaining them. The team also has responsibility for production of operational reports from timetabling for oversight and assurance of timetabling data quality. The team has responsibility for ensuring the data within the system is understood and effectively used by university staff through clear communication about relevant processes, procedures, guidance, and staff/student training.

The Role

This is a vital role deputising for the Head of Timetabling with the remit to manage the day-to-day operation of the build and management of the whole university timetable and associated systems. Under the direction of the Head of Timetabling, the role holder will ensure our service supports an excellent individual timetabling experience for students and staff across the university. The role holder will line manage the Timetabling Officers responsible for the production of the timetable, ensuring high standards are maintained, processes are continually improved and estate usage is optimised. The role holder will manage the day-to-day operations of the team and ensure team members are effectively supported and appropriately upskilled as we move to a new approach to timetable development. Experience or interest in coaching, training delivery and people development in a solution-focussed environment would be particularly beneficial for the post-holder.

Who are we looking for?

The role holder will need to build strong working relationships with stakeholders in academic and other professional service departments as well as external suppliers and may be required to represent and negotiate on behalf of the team at meetings and committees ensuring communication channels are effective. The successful candidate will have excellent communication skills with demonstrable experience of successfully improving processes and procedures to meet user requirements through the design, development and implementation of core business systems. The ability to analyse complex data, identify, document and effectively resolve issues and embed new ways of working is essential. The role holder will be required to monitor performance to maintain high standards, and actively engage with the maintenance and efficient use of key systems. A background in using timetabling related systems, particularly Scientia (Technology1), is highly beneficial as the role holder may be required to support timetable maintenance at key points in the cycle.

How will you work?

We are committed to supporting flexible methods of working wherever possible. Campus attendance will vary on a day-to-day basis and across the year but must purposefully align to the needs of our students, staff, and stakeholders. It is expected that team members work on the Canterbury campus for 3 days per week and 2 days a week from home (or equivalent pro rata).
