Overview

Essington Medical Centre is a group practice across two sites serving 9,300 patients and is looking for two receptionists to join the team. The hours are 21.5 hours per week.

Position (1) – Monday 7.45am – 1.30pm, Tuesday 1.30pm – 6.30pm, Thursday 7.45am – 1.30pm, Friday 1.30pm – 6.30pm

Main duties of the job

The following are the core responsibilities of the Receptionist. There may be, on occasion, a requirement to carry out other tasks. This will be dependent upon factors such as workload and staffing levels:

  • Maintain and monitor the practice appointment system
  • Process personal, telephone and e-requests for appointments
  • Answer incoming phone calls, transferring calls or dealing with the caller’s request appropriately
  • Signpost patients to the correct service
  • Initiating contact with and responding to requests from patients, team members and external agencies
  • Clinically code data on EMIS Web clinical system
  • Photocopy documentation as required
  • Data entry of new and temporary registrations and relevant patient information as required
  • Input data into patients’ healthcare records as necessary
  • Manage all queries as necessary in an efficient manner
  • Maintain a clean, tidy, effective working area at all times
  • Monitor and maintain the reception area and notice boards
  • Support all clinical staff with general tasks as requested

Job responsibilities

MAIN DUTIES AND RESPONSIBILITIES

  • Greet patients and visitors to the practice
  • Book in, amend and cancel patient appointments in line with practice procedures to ensure optimal efficiency of the appointment system
  • Ensure that patients without appointments but who need urgent consultations are booked into appropriate slots and referred to a GP where necessary
  • Receive and accurately record requests for home visits, assessing urgency in accordance with practice protocols
  • Ensure computerised appointment system is up-to-date
  • Respond and/or redirect all patient and visitor requests accordingly
  • Explain practice arrangements and formal requirements to new patients and temporary residents
  • Set up of new patients onto the computer system
  • Advise patients of relevant charges for private services, accept payment and issue receipts
  • Produce repeat prescriptions according to practice procedures and ensure timely distribution
  • Ensure correspondence, reports, results etc. are filed electronically in the correct patient record
  • Scan hospital correspondence and attach to the computer system with the appropriate read code
  • Keep reception and waiting areas neat and tidy; restock information leaflets as appropriate
  • Answer incoming telephone calls, ensure calls are documented and redirected accordingly
  • Undertake administration tasks as allocated on rota organised by Practice Manager
  • Action start and end of day procedures; check out-of-hours telephone switch over is operating effectively
  • Maintain up-to-date maintenance of both computerised and manual filing systems (i.e. patient notes)
  • Check emails daily and regularly check the fax machine
  • Check System One for messages and ensure actions are completed
  • Participate in internal and external training to maintain a high standard of work
  • Maintain good communication with colleagues and foster a positive working relationship

  • Answer the telephone promptly and return missed calls
  • Ensure security of working rooms and patient records; keep prescriptions securely locked
  • Maintain strict confidentiality; attend and participate in practice meetings when required

The post-holders’ work assignment is determined by the requirements of the Practice, GP Partners, the Practice Manager and the patients. The Practice Manager provides immediate line-management; the post-holder is expected to be self-directed and motivated. Annual appraisal covers performance; forward planning and continuous improvement are encouraged.

  • Desirable: Experience of working in primary care
