Summary of Role
We are seeking a Project Coordinator to join our Delivery team and work primarily across a key account, while also gaining exposure to other Candyspace clients where capacity allows. This role requires proven experience in coordinating and delivering projects, ideally in a fast‑paced, multi‑stakeholder environment, along with the organisational discipline, communication skills, and a problem‑solving mindset essential for successful project coordination. The Project Coordinator will be responsible for ensuring the smooth delivery of design projects on behalf of our client. Candyspace’s remit is to manage, improve and optimise the efficiency of their operations, enabling the Design Team to rapidly scale and iterate design activities across multiple teams within the client organisation.
You will take ownership across various workstreams, ensuring:
- Clear and proactive communication between all parties
- Efficient resource allocation and workload management
- Adherence to deadlines and release plans
- Accurate tracking of requirements, risks, and dependencies in JIRA
- Consistent delivery quality in line with client expectations
You’ll work closely with designers, delivery management and client stakeholders, maintaining a streamlined design process and ensuring all requirements are prioritised, risks are documented with clear mitigation plans, and project boards remain up to date and actionable.

From scoping and ideation through the project lifecycle, you will be a trusted partner to our clients, continually adding value by:
- Problem‑solving and removing delivery bottlenecks
- Introducing process improvements and automation initiatives where possible
- Demonstrating a strong grasp of product processes and client objectives
Responsibilities include
- Manage project timelines, client relationships and resources to ensure project completion on time and within budget.
- Facilitate communication between team members, stakeholders, and clients.
- Track project progress and identify potential roadblocks or delays, proactively implementing solutions.
- Oversee and track design‑related customer support requests and manage design contributions from other product teams.
- Maintain and update project documentation, including meeting minutes, action items, and status reports (monthly and quarterly).
- Manage and update the design project pipeline dashboard, collaborating with the responsible stakeholders to produce quarterly reports for presentation to senior client stakeholders.
- Provide second‑level support for design tools (Figma and Stark).
- Track Figma user licences and ensure adherence to budget limitations.
- Prepare bi‑weekly project status updates.
- Track and report on key performance indicators (KPIs) such as time to respond and time to resolve.
