Operations Executive – Data, equipment and account management
Location: Hybrid working – 2 days in the office and 3 days working from home.
Working Hours: 37 Hours Monday - Friday
Our Operations Executive (Data) supports the operational and analytical functions of the Face‑to‑Face (F2F) Fundraising team, with a strong focus on data management, compliance, and administrative efficiency across our acquisition platform. The successful candidate will be responsible for managing and optimizing data‑driven logistics and administrative processes to ensure the smooth operation of the F2F Fundraising programme. This includes accurate data handling, system coordination, and reporting to support strategic objectives.
Location and coverage: The successful candidate must be willing to travel to Birmingham at least twice a week and work from our local hub, while also being comfortable working from home and managing tasks independently.
About the role: The Data Support Administrator provides high‑level administrative support across the People function, ensuring the effective delivery of People‑related processes and services. This role is central to maintaining accurate colleague records, supporting recruitment and onboarding and ensuring compliance with employment legislation and internal policies. The postholder will act as a trusted point of contact for colleagues and managers, contributing to a positive colleague experience and efficient People operations.
Key accountabilities:
- Support data team and oversee accurate data flows across acquisition platform to CRM (e.g., Evergiving, Charity Go).
- Act as the primary point of contact for our acquisition platform account management, which includes account management of our acquisition platforms, external suppliers and providers (Charity Go, GWD, Power‑BI, Evolution, Ever Giving, Creative agencies, suppliers of clothing & brand materials, Amber Arch).
- Perform advanced data analysis on fundraiser performance, sign‑up rates, and attrition trends using Power BI and advanced Excel (pivot tables, macros, data modelling) reporting of fundraiser sign‑up rates, KPI’s, cost per sign‑up and return on investment.
- Monitoring, analysing and reporting on trends and data from our regular giving acquisition platform (Evergiving) to the F2F Fundraising management team.
- Supporting the Quality Control calling team and our mystery shopping function.
- Supporting the data function and provision of data and statistics to the F2F and Contactless Giving team. Working with our data, CRM and outcomes team to report data through Power BI.
- Ensure accurate data entry, integrity, and reporting across all systems.
- Collaborate with internal data teams to streamline reporting processes and dashboards.
- Analysis and Reporting of fundraiser sign‑up rates, KPI’s, cost per sign‑up and return of investment. Along with reporting of attrition rates and trends – supporting our compliance and standards outcomes.
- Conduct regular audits and national stock takes to maintain accurate inventory records.
- Coordinate onboarding administration for new starters, including equipment distribution and retrieval for leavers.
- Support the tracking of all stock items and equipment used by the teams. Re‑order materials, equipment and uniforms, track, report and control costs to agreed budget.
- Liaise with IT, Fleet Services, and other internal stakeholders to ensure timely account setups and compliance checks (DBS, training confirmations).
- Monitor new starter retention rates and provide analytical reports to management.
- Ensure any CRM cases and complaints associated with the F2F team are responded to effectively, working with relevant team members to provide best practice responses.
About you:
- Technical: Experience in face‑to‑face fundraising, beneficial. Experience in administration. Experience of project management / coordination of multiple events programme. A good knowledge of the codes of best practice set out by the Fundraising Regulator & Institute of Fundraising. Strong data management and analytical skills, with advanced proficiency in Excel (pivot tables, VLOOKUP, macros) and Power BI. Experience with CRM systems and fundraising acquisition platforms.
- General: Excellent planning, organisational and cost‑control skills. Ability to manage complex workflows and multiple stakeholders. Good report writing and analysis skills. Good collaboration and integration skills, building relationships with stakeholders. Ability to effectively manage a varied and evolving workload and work with a variety of stakeholders. Solutions focused approach with a good geographical understanding of the UK. Confident in learning about using new software (CRM database and Acquisition platform). Enthusiasm for keeping our local waterways attractive and safe for all to enjoy now and in the future.
